POSITION SUMMARY: Provide administrative support to the center managementteam in support of organization and program outcomes. DUTIESAND RESPONSIBILITIES: 1. Providesadministrative support for the center staff including handling and prioritizingoutgoing or incoming phone calls and correspondence (e-mail, letters, packagesetc.) and information requests. 2. Handlesconfidential documents ensuring they remain secure. 3. Drafts andproofreads correspondence. 4. Assists withbookkeeping duties, including but not limited to, processing purchase ordersand time sheets. 5. Assist inplanning events. 6. Performsreception duties including answering phones and greeting visitors. 7. Gathers andkeeps records such as meal counts, in-kind, staff training and volunteerrecords. 8. Maintain filesand records per policies and Head Start regulations. 9. Runs errands. 10. Monitorsoffice supply inventory and ensures office equipment maintenance. 11. Protects thesafety of children by implementing active supervision techniques to ensure nochild is left alone or unsupervised at any time. Ensures safety procedures arefollowed when children are picked up from the center. 12. Assist withthe mobilization and documentation of matching/in-kind funds. 13. Fills in on atemporary basis when a staff member needs to leave the classroom for a shortduration. 14. Assists withplayground supervision, bus loading/unloading and bus monitoring as needed. 15. Works incooperation with supervisor to develop and document progress on professionaldevelopment plan. Actively engages in professional development activities toincrease qualifications in accordance with Corporation's Core Values. 16. Work mayrequire the flexibility to stay until all children have left the program. 17. Translateswhen necessary. 18. Participatesin staff meetings, committees, and training sessions. 19. Perform allother duties as assigned. SUPERVISORY RESPONSIBILITIES: This position has no direct supervisory duties butis expected to train or explain work procedures to others. ROLEQUALIFICATIONS: Education and ExperienceRequirements: • Highschool diploma or G.E.D. is required. • ATechnical Diploma in office administration is preferred. • Mustbe able to get certification for CPR and First Aid after hire and recertify asrequired. • Minimumof 1 year of experience with a high school diploma. • Minimumof 6 months of experience with at least a Technical Diploma. Skills and Abilities: • MicrosoftOffice products and on-line client management systems • Abilityto communicate effectively in writing. • Knowledgeof administrative and clerical procedures and systems such as word processing,managing files and records and other office procedures and terminology. • Abilityto exercise tact and discretion in all employee and customer interactions. • Abilityto work independently and maintain professional boundaries and confidentiality. Background Checks: • Allemployees are subject to both a pre-hire and an annual background check.Specific rules by Area of Focus will indicate whether a state or federalfingerprint background check (or both) is required and the frequency. Afingerprint background check may suffice for a regular background check.Additional background checks may be required such as the Child Abuse andNeglect State Registry, and the Sex Offender Registry. Positions that Require Driving: • TelamonCorporation / TRC employees that are required to drive a personal vehicle forwork-related duties are to meet the auto insurance liability requirement. Theminimum limits required are $100,000 each person bodily injury, $300,000 eachaccident bodily injury and $50,000 property damage.
