Job Description:
Position SummaryWe are seeking a highly motivated Payroll Administrator specializing in US Payroll Tax to support federal and multi-state tax compliance, reporting, and planning activities. This role is responsible for managing payroll tax filings, reconciliations, audits, and year-end processes using systems such as SAP, ADP GlobalView, and UKG Pro.The position also partners closely with Payroll, HR, and external vendors to ensure accurate tax handling, regulatory compliance, and timely implementation of legislative updates. Additionally, this role may support broader HR service delivery initiatives including reporting, compliance, and employee transaction services.Key ResponsibilitiesPayroll Tax Compliance & ReportingManage payroll tax reconciliations, reporting, and approvals of payroll runs, including funding for tax remittancesBalance, reconcile, and approve filings including 941, 940, W-2, W-2c, 499W2, 499W2c, and amended returnsPrepare weekly cash flow reports to support payroll and tax fundingMaintain payroll tax data and generate reports as neededSystem & Process ManagementManage Power of Attorney (POA) forms and tax authority setups across SAP, ADP GlobalView, and agenciesMonitor and reconcile local tax setups to ensure correct jurisdiction codesSupport wage type setup and validation for proper income and tax reportingConduct user acceptance testing (UAT) for payroll tax system updates and changesRegulatory Compliance & AuditsManage quarterly payroll tax processes, including filings and corrections for the US and Puerto RicoSupport and manage payroll tax audits, including documentation, reporting, and remediation of findingsStay current on federal and multi-state payroll tax regulations and ensure timely system updatesTax Planning & Special ProjectsProvide payroll tax expertise for new legislation implementation and complianceSupport mergers, acquisitions, and divestitures from a payroll tax perspectiveManage complex tax scenarios such as expatriate and relocation tax processesIdentify and resolve retroactive tax issues and ensure proper adjustmentsCollaboration & CommunicationPartner with Payroll leadership, HR Service Center, and external vendors to ensure accurate payroll tax operationsProvide year-end tax communications to employees (e.g., federal withholding and FICA updates)Support payroll audits, validations, and compliance initiatives with leadershipQualificationsEducationBachelor's degree in Human Resources, Business Administration, or related fieldCPA and/or advanced degree preferredExperience3-5 years of payroll administration experience preferred3-5 years of payroll tax and/or financial reporting experience preferredExperience with financial reporting requirements; SEC experience is a plusSkills & CompetenciesStrong knowledge of payroll tax regulations and compliance requirementsExperience with end-to-end payroll processes and GL reconciliationProficiency working with payroll and HRIS systemsHigh attention to detail and ability to handle confidential informationStrong analytical, problem-solving, and organizational skillsEffective communication skills with ability to interact across all levelsAbility to work independently and manage multiple priorities in time-sensitive environmentsExperience working with third-party payroll vendors and cross-functional teamsAdaptable, flexible, and professional demeanorSystems Experience (Preferred)WorkdaySAP PayrollADP GlobalViewUKG Pro
