Receptionist/Administrative AssistantWhite Plains litigation firm is searching for a Receptionist/Administrative Assistant to join our team.Duties include but are not limited to:Front Desk & Office Support:Serve as primary point of contact: greet visitors, answer and route high-volume calls, and manage deliveriesProcess, distribute, and manage incoming/outgoing mail and faxesMaintain a professional office environment, including kitchen upkeep, supply inventory, ordering, and organizationPrepare conference rooms and provide refreshments for meetingsAdministrative Support:Serve as the primary point of contact for all client intakes, managing a high volume of phone inquiries and conducting intake calls. Track and process all online intake submissions, ensuring accurate data entry, timely follow-up, and consistent communication throughout the intake process.Assist with setting up and coordinating food and beverage orders for meetings, depositions, mediations, and firm eventsAssist with firm calendar management, including scheduling conference rooms and maintaining on-call schedulesHandle check depositsProvide general administrative support, including copying, scanning, document preparation, and mailingDraft Legal Services Agreements (LSAs) and occasionally assist with conflict checksAssist with CRM management, including updating contacts and assist with maintaining assigned gift listsProvide overflow support to attorneys and paralegals, including trial preparation (binders, exhibits, files)Maintain and organize electronic files and document management systemsAssist Managing Partner and Marketing Director as needed (e.g., invoices, business development support)Perform other administrative duties as assignedRequired Qualifications:· Associate Degree (required)Our preferred candidate has:· Bachelor's Degree· Microsoft Office Suite: 1 year minimum· Exceptional attention to detail· Excellent work ethic· Outstanding communication skillsSalary Range: $50K- $60K
