Job Description:
Administrative Coordinator Join our Page Trucking Team today! Shift: Monday-Friday / 7:00am-4:00pm Hourly rate: $20.00-$28.00 (based on experience) Job purpose: To enhance and support the Page Trucking culture by managing company events, social media presence, and other key functions that contribute to a positive experience for drivers and employees. Duties and responsibilities Travel & Event Coordination Lead and manage all company events, in-house and offsite, including planning, scheduling, vendor coordination, logistics, communication, setup, and execution. Arrange travel for Executive Officers and employees, including registration, lodging, transportation (vehicle/aviation), and payments. Coordinate meetings and internal gatherings: update calendars, issue details/invitations, and arrange meals when required. Driver Orientation Support Send welcome communications outlining schedule, location, and expectations. Schedule rental cars and/or flights when applicable. Prepare orientation room with materials, supplies, and Page Gear. Provide DCC stay information and coordinate lunch orders. Recruiting & HR Support Schedule candidate interviews (Microsoft Teams and in-person). Maintain and update the company directory monthly. Support HR wellness programs and initiatives, including mailings, broadcasts, and meeting setups. Marketing, Communications & Culture Support Create content and manage all company social media platforms (Facebook, Instagram, TikTok, YouTube, LinkedIn). Support a culture of care, safety, and connection through positive in-person engagement and purposeful social media content. Inventory & Accounting & Office Support Track and report monthly in-house inventory. Maintain Page Gear and office supply inventory, ensuring PAR levels are met and restored regularly. Provide receipt backup/documentation to accounting as needed. Perform general administrative duties (filing, photocopying, mailing, collating). Open, sort, and distribute mail and packages; manage annual mailings. Answer and route incoming phone calls; check and forward messages. Monitor visitor access, maintain sign-in logs, and issue visitor passes. Track and manage the use of onsite company vehicles. Support Queen Mary boat slip inquiries, purchases, fob activation; manage Airbnb bookings and cleaning until transitioned. Maintain regular attendance and punctuality. Above average organizational skills Professional and positive interface Detailed orientated. Ability to work under pressure. Ability to multitask; manage multi phone system. Assist with applicable program applications (e.g., WBE). Physical requirements: Must be able to lift/move up to 40lbs. Vision abilities: close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust and focus. Must be able to read, write, talk, and hear. Sedentary position: walking short distances required.
