Job Description:
Reporting to the Senior Manager of Marketing & Communications, the Event Coordinator will assist in the planning, execution, and promotion of 15-20 events annually across the US. These events will support Our Client's commercial objectives and enhance brand equity, market share, and revenue. This full-time position will involve close collaboration with various departments within Our Client (CVI), including Marketing, Corporate Accounts, Professional Affairs, Sales, Finance, and key customers. The Event Coordinator will also help build and maintain strong relationships with key vendors to support the successful execution of events. The core responsibilities include supporting event logistics, vendor coordination, budget tracking, and internal communications. The Event Coordinator will assist with event budgets, tracking expenses, processing invoices, and providing regular updates to stakeholders. Additionally, this position will follow established processes for event planning, procurement, and approvals to ensure smooth and compliant event execution. As Our Client continues to grow, the role of the Event Coordinator will support the company's increasing presence at industry events and tradeshows. This role will help coordinate the resources and personnel needed to ensure successful Our Client-hosted events. Assist in maintaining relationships with vendors and venues. Support coordination of event details, including transportation, layouts, food & beverage, A/V, entertainment, and experiential activities. Track event budgets and provide financial updates. Help prepare event plans, including identifying potential challenges that could impact the event's success. Maintain knowledge of the requirements for a variety of event types. Assist in communicating event plans, results, learnings, budget impact, and optimization strategies to cross-functional teams pre- and post-event. Share insights and results with the broader team on a quarterly basis. Monitor activities during events to help ensure attendee satisfaction. Support the creation and deployment of marketing materials and promotional tactics before, during, and after events. Strong organizational and time-management skills with excellent attention to detail. Ability to work collaboratively with remote teams and across multiple functions in a fast-paced environment. Strong communication skills, with a focus on customer service. Flexibility to adapt to shifting priorities and demands. Proficient in Cvent, Excel, Smartsheet, Microsoft Word, and Microsoft Outlook. Ability to work well with others to achieve event goals. Good judgment and problem-solving skills. Normal office environment; hybrid onsite/remote schedule. Light to moderate physical effort required. Prolonged sitting and computer use. Travel will be required as part of the role-up to 30% of the time. 1-3 years of experience in event planning, hospitality, or a related field. 1-3 years of experience in project management or marketing support.
