We have an immediate need for a full time Executive Assistant to join our team at our Corporate office in Troy, NY. This is a full-time role, reporting to the Chief Operating Officer, and responsible for the following: Meetings + Travel Manages the COO's calendar, including scheduling, expenses, and travel arrangements. Assists the Management Team with scheduling meetings and managing calendars as needed Coordinates meetings, events, and travel logistics. Produces, collects, and distributes meeting minutes and action items at the request of Regional Managers or Vice Presidents. Management Operations + Reporting Assists with distributing weekly owner reports; organizes monthly/quarterly reports by product type Acts as back up to Operations Manager and/or assists with distributing weekly student, senior and multifamily owner reporting distributed through "United Reporting" email. Audits of reporting deliverables to report to Operations Manager on corrections Oversees OneDrive organization and filing Assists with Management Initiatives as requested Organizes weekly reports by product type. Organizes monthly financials by product type. Ensures completion of quarterly Market Comp Surveys. Assists with organization of New Development/Takeover Checklist as needed Marketing & Sales Assists with marketing and retention event planning at properties as needed Monitors CRM reports to ensure effective follow-up strategies and appropriate response times Monitors outreach initiatives and help in establishing and ensuring robust outreach plan by product type Assists with tracking and filing of Rent Rec reporting Performs monthly audit of Site websites and online listings for accuracy and functionality, including audit of Site-specific phone numbers Performs monthly audit of collateral for accurate Property information Special Projects + Event Planning Assists with corporate and property special projects as needed. Assists with the planning and execution of the annual Managers Retreat. Assists with Employee Relations events and initiatives ensuring sound communication and participation with Site teams. Reporting + Technology Generates and provides reports from Management/Accounting Operating System as needed. Serves as back up to Operations Manager providing new development reports using Claritas Serves as back up assisting with gathering information for Company Reporting - IDA reporting (PILOTs), United Group Reporting (Owners), Delinquency Reporting & Graphs, as needed. Human Resources Administration Assists with Time + Attendance administration and payroll related processes to support Management team. Works with HR to review weekly payroll related items, reports, and items needing review or follow up. Assists with employee progressive disciplinary issues and/or Performance Improvement Plans as needed. Assists management team with scheduling training and gatherings as needed. Acts as liaison and partners with HR and Management with regard to Pure Safety initiatives. Regularly attends and participates in Safety Committee Meetings. Assists with ensuring safety meetings are regularly conducted with employees to promote safety awareness and compliance with the Safety and Health policies. May assist with investigating accidents and assist with completion of accident report forms when required. Assists with HR related activity to ensure continuity of processes, submission of required paperwork, etc. Job Overview + Requirements Job Type: Executive Assistant, Non Exempt; $22 - $25 per hour. Work Hours: Monday through Friday, 8:00am 5:00pm Physical Requirements: ability to sit for long periods of time, ability to travel as needed. Required Education: Associates degree or related experience in Property Management. Required Experience: 1 - 2 years of experience in property management. Strong administrative skills with a willingness to learn new systems and technologies. Proficient in Microsoft Office applications. Familiarity with ADP Workforce Now and Entrata preferred.
