Overview: This role supports the organization, coordination, and supervision of activities related to physician practice secretaries and Medical Assistants as outlined in the organizational chart. Acting as a key resource in the absence of the Practice Coordinator or as delegated by the Practice Director, this position ensures smooth front and back office operations and excellent patient service. Front Office Responsibilities: Manage typing, copying, and creation of forms and reports, ensuring timely and efficient communication. Complete correspondence by scheduled deadlines unless otherwise directed. Answer phones, retrieve voicemails, and facilitate communication between physicians and staff. Maintain front office phone coverage and message taking. File and copy patient and non-patient related documents. Provide feedback to enhance front office efficiency. Utilize hospital EMR system proficiently for all front office duties. Clinical Patient Care Responsibilities (MA or LPN): Deliver direct and delegated patient care, recognizing normal and abnormal patient parameters. Respond to calls, triage appropriately, and provide patient reassurance and education. Ensure smooth healthcare delivery during patient visits, including accurate and updated medical records. Prepare patients for exams, obtain vital signs, and document observations and physician instructions. Assist physicians with testing, treatments, minor surgeries, and medication management. Coordinate patient testing, referrals, and follow-up communications. Distribute educational materials and ensure patient understanding of treatments and medications. Perform laboratory tests and maintain lab logs as prescribed. Administrative Duties: Oversee daily operations of practice secretaries, receptionists, and Medical Assistants across locations. Represent the department in public relations, committees, and educational activities as assigned. Manage staffing, scheduling, operations, and training with support from the Practice Coordinator. Maintain safe operation of dedicated areas and equipment, coordinating repairs as needed. Plan and implement educational and staff development programs for clinic and hospital staff, patients, and public relations. Prepare and maintain departmental records, reports, policies, and procedures. Assist with performance reviews for supervised staff, collaborating with leadership on salary and disciplinary decisions. Education and Experience: Associate degree or equivalent required. Candidates pursuing a bachelor's degree with at least two years completed coursework may be considered. Graduation from an accredited Medical Assistant or Nursing (LPN) program required or must be completed within three years of hire. Minimum of five years' experience as a secretary, receptionist, or Medical Assistant. Work Schedule: Full-time, day shift, 40 hours per week in a regional healthcare setting within the Midwest United States.
