Department College of Medicine, Research & Graduate Programs Responsibilities This position provides comprehensive academic and administrative support for the College of Medicine Biomedical Sciences Ph.D. Program. The role plays a key part in supporting program operations, coordination, recruitment, initiatives, and ongoing administrative needs. * Responsible for coordinating the Biomedical Sciences Graduate Program to include recruitment, admission process, payment of stipends and tuition, curriculum management and registration. Serves as an academic advisor to graduate students. Conducts manuscript clearance and graduation checks. Responsible for quality control issues for graduate students and graduate student candidates in the Biomedical Sciences Ph.D. program. Leads the administrative support to the Graduate Program committee. Arranges and processes all necessary travel arrangements for students in accordance with Florida State University policies and procedures ensuring travel arrangements and reimbursements are processed in a timely manner. Participates and makes presentations at annual recruiting events. Transports graduate students for special events and graduate recruiting requiring the operation of a motor vehicle. * Maintains university databases and software systems used to track graduate student academic progress, such as the Graduate Student Tracking System and the Stellic academic advising platform. These systems support efficient data collection for internal and external reporting. Maintains and enhances additional program data sources, including alumni tracking, educational environment assessments, and exit surveys. Maintains the Biomedical Sciences Ph.D. graduate program website and posts relevant information to departmental social media platforms. * Supports the Assistant Dean for Graduate Programs in coordinating, planning, evaluation and implementation of all graduate education initiatives in the Division of Research and Graduate programs. * Acts as a liaison to the College of Medicine Administrative Services for appointment processing for graduate research assistants to include processing of new hire paperwork, offer letters, terminations, reappointments, monitoring reports to ensure payroll status and accuracy, and monitoring visa statuses. Maintains spreadsheets reflecting budget status records of stipends, tuition, pay increases, etc. Assists in the preparation of the annual graduate program budget. Coordinates with faculty to identify students on grants and/or fellowships and to help monitor their status. * Acts as an official liaison between the college and FSU Graduate School, Admissions and Records Office, and Registrar's Office, as well as graduate program offices in the College of Arts and Sciences as required for coordination and information exchange. Serves as the administrative liaison to the neuroscience graduate program. Qualifications * Bachelor's degree and four years of related experience; or high school diploma/equivalent and eight years of related experience. (Note: post-high school education can substitute for experience at the equivalent rate.) * Valid Florida or Georgia Driver's License, or the ability to obtain prior to hire.
