Position Objective To provide quality and consistent administrative support and focused internal and external customer service that contributes to the commitment to the County's mission and values. This position supports recruitment and selection activities, maintains accurate electronic personnel records, manages digital file workflows, and assists employees and the public by responding to inquiries with professionalism. Essential Duties and Responsibilities These examples do not include all possible responsibilities in this position and do not limit the assignment of related duties to this classification. 1. Supports the recruitment lifecycle by leveraging the County's digital applicant-tracking system (Workday). Creates, updates, and posts job announcements across approved platforms, reviews system reports for accuracy, builds online interview schedules, prepares interview materials, and coordinates interview logistics across in-person, phone, and virtual formats to support an efficient hiring process. 2. Delivers front-desk and quality customer support services by assisting internal and external customers in person, by phone, through virtual platforms, and via email. Provides timely assistance and information across a wide range of inquiries, including communicating with job applicants about their application status, next steps, and available employment opportunities. 3. Coordinates pre-employment processes by managing applicant testing, initiating and monitoring background and reference checks, and maintaining accurate electronic records to support timely and informed hiring decisions. 4. Assists with employee onboarding and offboarding by preparing status change notifications and tracking required tasks and forms to ensure compliance. 5. Prepares and indexes personnel records and forms into the electronic filing system to provide accurate and accessible records. 6. Provides general HR administrative support, including processing mail, completing employment verifications, disseminating information, and monitoring and responding to inquiries received through HR email and fax mailboxes. 7. Provides administrative support to business partners daily, responding to inquiries, drafting communications, preparing reports, and ensuring accuracy and organization in all deliverables. 8. Coordinates and organizes the Employee Recognition Awards Program. 9. Provides administrative support for employee-related functions, job fairs, special events, and community engagement activities. 10. Coordinates fingerprinting process for required staff ensuring adherence to State of MN policy and procedures. 11. Reserves meeting rooms and prepares work orders and notifies attendees of meetings. 12. Responsible for special projects as assigned. 13. Attends work regularly and in a timely manner. 14. Performs other duties as assigned or apparent. Minimum Qualifications In order to be considered for this position, applicants must possess the following: High School graduate or equivalent One year of post-secondary education and two years of progressively related experience OR four years of progressively related experience (HR education or experience preferred) Experience using Microsoft Office Suite Application Supplemental Information: Provide three professional references as an attachment when submitting your application. Work Environment and Physical Demands The primary responsibilities for this position will be performed approximately 100% of the time indoors. May require travel to offsite locations and minimal attendance at evening meetings. Will have infrequent exposure to health hazards and accidents; requires a low level of physical effort. All employees are required to reside within the state of Minnesota. Extent of Supervision or Guidance Provided Work is performed under the general supervision of the Assistant Human Resources Director. Responsibility for Public Contact Frequent. Hours of Work Normal work hours are 8:00 a.m. to 4:30 p.m., Monday through Friday; may include hours outside of normal work hours on occasion. Potential for hybrid (partially remote) work environment after completion of onboarding.
