Job Description:
We are seeking a reliable, organized, and outgoing Customer Service / Receptionist / Administrative Assistant to join our team. This role is essential to keeping daily operations running smoothly by supporting customer service, scheduling, and administrative tasks in a fast-paced office environment.The ideal candidate enjoys a challenge, helping others, is comfortable multitasking, and has strong communication and computer skills. Experience in the construction or service industry is helpful but not required. Experience with SM8 (Service Mate) is a plus, but training will be provided.Key Responsibilities:• Answer and direct incoming phone calls in a professional manner• Create and manage work orders in the company service program• Schedule and dispatch service technicians• Greet customers coming into the office and assist with inside sales and quotes• Receive and process customer payments• Maintain and update customer files and records• Issue purchase orders and log checks in the purchase order log• Assist with collections and follow up on outstanding balances• Perform daily work order reviews to identify follow-up service, parts, or quotes needed• Follow up on parts and materials ordered for jobs and update work orders accordingly• Coordinate with team members to ensure jobs are completed efficiently• Order materials and equipment needed for scheduled jobs• Request pricing from suppliers for quote preparation• Perform other administrative and office duties as assignedQualifications:• Previous customer service or administrative experience preferred• Strong computer skills and familiarity with Microsoft Word and Excel• Ability to quickly learn new software programs (including company service program)• Excellent phone etiquette and communication skills• Strong organizational skills and attention to detail• Ability to multitask and prioritize in a fast-paced environment• Positive attitude and a team-oriented mindsetPreferred (Not Required):• Experience in construction, service, or trade-related industries• Dispatching or scheduling experienceWhat We’re Looking For:We are looking for someone who is friendly, dependable, organized, and proactive, with a natural ability to assist customers and keep office operations running smoothly.
