We are an aggressive, fast-growing company with a full pipeline of exciting new projects, products, and employment opportunities.The Office Administrator provides day-to-day administrative support across Shaw's facilities, and is responsible for maintaining organized, professional, and efficient office environments supporting site operations, HR, and Safety teams and functions. This plays a critical role in ensuring a seamless experience for employees, visitors, and external vendor partners, contributing to a welcoming, efficient, and professional environment for all. Who You AreCustomer-service oriented with a focus on positive employee and visitor experiences Proactive and solution-oriented Highly organized and dependable Adaptable in a fast-paced manufacturing environment Ability to manage competing priorities across multiple locations What You'll Do Facility and Leadership Support Maintain clean, organized, and fully functional office spaces across all locations Conduct routine walkthroughs to ensure conference rooms, common areas, and offices are presentable and stocked Manage and track basic facility needs, including ordering office supplies and kitchen inventory & supplies for both locations Proactively report usage trends, forecasting accurate needs for inventory replenishment Basic administrative needs by HR, QA and Plant Director, including scheduling, meeting coordination, and internal communications Partner with HR and site leadership on onboarding and offboarding needs Support company events, meetings, and employee engagement activities Help standardize office processes across locations Visitor Management Serve as the primary point of contact for all visitors, including coordination of check-in, badge issuance, and host notifications Issue, track, and deactivate employee and visitor badges Prepare meeting spaces, ensuring rooms are clean, stocked, and ready for meetings Support hosting activities such as catering, materials setup, and site readiness What You'll Need1-2 years of administrative, office coordination, or facilities support experience (manufacturing or multi-site environment preferred) Strong organizational and time management skills with attention to detail Excellent interpersonal and communication skills Proficiency in Microsoft Office (Outlook, Word, Excel) or similar tools Bi-lingual in English & Spanish highly preferred What We Need You to KnowWorking Conditions & Requirements Regular travel between company locations Ability to lift and move light office supplies (up to ~25 lbs) Onsite role with frequent interaction across teams Must be able to go on manufacturing floor and be able to adhere to GMPs Equal Employment Opportunity Statement Shaw Bakers, LLC is an equal opportunity employer and makes employment decisions based on business needs, job requirements, and individual qualifications.
