Bookkeeper / Payroll Administrator Seeking a reliable, detail-oriented Bookkeeper / Payroll Administrator to manage day-to-day financial operations across several closely held companies. Our businesses include rental property management, a fine art/artist enterprise, a veterinary hospital, and a lodging facility, so experience in any of these sectors particularly property management or hospitality is a strong plus. This role supports approximately 25 employees across multiple entities and requires accuracy, discretion, and the ability to comfortably manage varied financial needs under one umbrella. The ideal candidate enjoys order, consistency, and being a trusted financial partner. Starting Wage: $19-$25/hour (DOE) Review: After 150 hours, based on performance (accuracy, efficiency, pace, aptitude, and leadership) Pay Range: $19-$25/hour DOE Hours: 30-40 hours/week Schedule: Flexible within 8:00am-6:00pm; occasional weekend availability requested Key Responsibilities Bookkeeping & Financial Management Maintain accurate financial records for multiple entities Record daily financial transactions and complete posting processes Reconcile bank and credit card accounts Manage accounts payable and receivable Track expenses, income, reimbursements, and intercompany transactions Code and reconcile reimbursements between companies Prepare monthly financial statements and management reports Bring books to trial balance stage Assist with budgeting, cash flow tracking, and loan research Support year-end close and provide documentation to CPAs and tax professionals Payroll Administration Process payroll accurately and on time for ~25 employees Manage wages, hours, bonuses, reimbursements, and contractor payments Ensure compliance with federal, state, and local payroll regulations File payroll taxes and manage withholdings and payments Maintain payroll records and confidential employee files Handle payroll-related onboarding (W-4s, I-9s, direct deposit) Respond to payroll questions and resolve discrepancies Compliance & Reporting Prepare quarterly reports and year-end adjustments Complete sales and use tax filings Ensure compliance with accounting standards and legal requirements Coordinate with banks, lenders, and external accountants Maintain organized records for audits or reviews Qualifications Proven experience as a bookkeeper and/or payroll administrator Minimum 1 year hands-on QuickBooks experience required Strong understanding of bookkeeping, AP/AR, and payroll principles Experience managing finances for multiple companies preferred Familiarity with property management, hospitality, veterinary, or small business operations a plus Proficiency with QuickBooks, spreadsheets, email, and digital communication High accuracy, strong organization, and excellent attention to detail Ability to manage deadlines independently and prioritize effectively Discretion and professionalism with sensitive financial and personnel information Preferred Skills Intercompany accounting experience Comfortable working independently in a fast-paced environment Strong communication and customer service skills Problem-solving mindset and steady follow-through Why Join Us Flexible schedule Long-term stability across established businesses Opportunity to become a trusted, integral part of a growing organization Varied, interesting work across creative, medical, hospitality, and property sectors How to Apply Please email the following to (no phone calls, please): Position for which you are applying: Resume Facebook address (if available) Two (2) character references and two (2) work-related references Hourly or salary history Number of hours available per week
