North Bay Childrens Center Enrollment Support Specialist Company Overview North Bay Childrens Center is dedicated to providing culturally diverse child care and early education programs for children ages 0-5 years, as well as after-school care for children ages 5-11 across sixteen (16) childcare centers in Marin and Sonoma Counties. Our programs are multilingual, developmentally appropriate, culturally responsive, and tailored to fit the individual needs of each child and family. Qualifications We are looking for an enthusiastic individual who is fluent in both English and Spanish, enjoys collaborating within a team, and is self-motivated. The ideal candidate should have experience in an office environment, possess excellent verbal and written communication skills, prioritize effectively, and have a strong attention to detail. Proficiency in Microsoft Office Applications and strong organizational capabilities are essential. Knowledge of customer service techniques and principles is also important. Role Overview The Enrollment Support Specialist will work under the supervision of the Area Director and play a vital role in assisting the Leadership Team with daily operations, including enrollment, reception duties, and enrollment reporting. This role requires effective time management and attention to detail. Additionally, you’ll assist in coordinating community events related to enrollment. Key Responsibilities Support the mission, values, and policies of North Bay Childrens Center in all interactions with parents, coworkers, and community members. Welcome visitors to the center, creating a positive and professional atmosphere. Help maintain the cleanliness and organization of the front lobby, office, and shared spaces. Exercise discretion, tact, and good judgment while maintaining confidentiality in all communications. Model effective communication and foster positive relationships with staff, parents, and children. Respond to inquiries from staff, parents, and children with sensitivity and respect. Manage telephone communications, providing information and taking messages courteously. Ensure clear communication with enrolled families, staff, visitors, and community members. Listen to parent concerns, exercise discretion, and refer issues to the appropriate Director. Assist in scheduling enrollment appointments and related activities, organizing subsidy tours as needed. Familiarity with California Department of Education (CDE) Title 5 regulations is essential. Generate reports on enrollment statistics and manage subsidy allocation processes. Maintain organization of subsidy files, oversee the re-certification process for families, and review student sign-in/out sheets. Input and verify family data and classroom attendance in NBCC’s family database system in preparation for CDE monthly reports. Assist the Finance Department with monthly billing for subsidy families and maintain communication regarding tuition policies and payments. Support the Program Director in maintaining essential documents in compliance with Community Care Licensing and the California Department of Education. Initiate outreach to enhance enrollment capacity, engaging with stakeholders and participating in partner meetings. Ensure security protocols are followed to prevent unauthorized child release while respecting visitor and alternate pickup procedures. Adhere to all safety and health protocols within the center while acting as a safety coordinator as assigned. Keep the work environment and equipment well-maintained and organized. Type, email, and file information as necessary. Occasionally back up the NBCC reception desk, managing phone calls and mail as needed. Temporarily assist as a teacher when required to maintain appropriate teacher-student ratios. Attend Enrollment meetings and meetings with other enrollment specialists. Provide bilingual translation support as needed. Participate in local subsidized council meetings as required. Undertake any other duties as assigned by the Area Director. Physical Requirements Must be able to bend, lift (up to 40 pounds), carry, reach, squat, and maintain a sitting or standing position for up to 8 hours per day. Compensation: $28 - $29.50 hourly wage.
