Job Description:
Position Purpose The Fleet Oversight role is responsible for the strategic and operational management of approximately 550 leased vehicles, ensuring safe, compliant, and cost-effective fleet operations. The position serves as the primary liaison between internal employees and the outsourced fleet management vendor, coordinating fleet services, resolving issues, and supporting business needs. The role also provides financial analysis and guidance to cost center managers and is expected to expand into a regional oversight position, supporting additional fleets for AMIG and MRAm. Key Responsibilities and Functions Fleet Operations & Vendor Management (80%) Manage day-to-day fleet-related requests from HSB, MRAm, and vendor partners, including vehicle relocations, reassignments, and availability coordination Act as the primary escalation point when the fleet vendor cannot resolve driver or vehicle issues Make informed repair vs. replacement decisions for damaged or high-cost vehicles Provide fleet guidance and financial insights to cost center managers and supervisors Partner with Procurement on fleet-related purchases and decisions Address driver-related matters including parking tickets, toll violations, mileage reimbursements, and registration issues Collaborate with Legal and Human Resources on serious driver disciplinary matters Apply company mileage reimbursement rates accurately and consistently Financial & Data Management (10%) Obtain and analyze fleet and financial data from internal systems and the fleet vendor Perform monthly invoice audits, accruals, and account reconciliations Maintain quarterly vehicle inventory updates for financial reporting Provide fleet crash, sustainability, and cost data to internal stakeholders as needed Risk, Safety & Compliance (5%) Monitor fleet usage, driver behavior, and vehicle status to ensure company safety and risk mitigation Maintain an accurate and up-to-date fleet vehicle inventory Ensure new hires meet Motor Vehicle Record (MVR) requirements before being authorized as fleet drivers Set up and monitor payroll deductions related to vehicle usage Annual & Recurring Projects (5%) Calculate and administer annual personal-use fees Support vehicle selection and annual buy-cycle planning Perform MVR reconciliations and ad-hoc financial or fleet analysis as requested Education and Experience Bachelor s degree preferred 5+ years of fleet maintenance or fleet operations experience required Certified Automotive Fleet Manager (CAFM) designation is a plus Experience implementing or maintaining fleet management software and data systems preferred Background in transportation, logistics, or supply chain is beneficial Knowledge and Skills Strong verbal and written communication skills Basic accounting and financial analysis knowledge Highly detail-oriented with strong analytical and problem-solving abilities Proficient in Microsoft Office, particularly Excel Excellent organizational and multitasking skills Results-driven, objective, and able to exercise sound judgment Professional, proactive, and career-oriented mindset
