We are currently seeking a highly organized, proactive, and trusted Executive Assistant to support the Vice President of Supply Chain & Logistics while also overseeing facilities coordination for our Pittsburgh headquarters. This individual will operate as a strategic partner, ensuring the VP can operate at full capacity while maintaining a high-performing, well-run workplace environment.This role blends executive support, operational coordination, and facilities oversight, requiring strong judgment, discretion, and the ability to anticipate needs before they arise.Accountabilities:Executive EnablementManage complex calendars, priorities, and scheduling with a focus on maximizing executive effectivenessHelp coordinate materials for leadership meetings, business reviews, and executive presentationsAct as a gatekeeper and facilitator, ensuring alignment on priorities and efficient use of timeCoordinate travel, logistics, and itineraries with precision and foresightSupport communication flow between the VP and internal/external stakeholdersTeam and Event CoordinationDrive follow-ups on key initiatives, ensuring deadlines and deliverables are metSupport supply chain leadership meetings, including agenda creation, note-taking, and action trackingAssist in preparing reports, dashboards, and communications for internal teamsCoordinate cross-functional activities across supply chain, logistics, and corporate teamsBring structure and organization to fast-moving prioritiesFacilities Leadership (HQ - Pittsburgh)Oversee day-to-day operations of the headquarters facility to ensure a safe, efficient, and professional environmentManage vendor relationships (maintenance, cleaning, security, etc.) and service contractsCoordinate office space planning, seating, and workplace experience initiativesLead response efforts for facility-related issues, ensuring minimal disruptionSupport company events, meetings, and on-site experiencesCulture and Office SupportHelp foster a high-performance, team-first culture within the headquartersSupport leadership engagement activities, team events, and all-hands coordinationAct as a connector across teams, reinforcing communication and collaborationCreate a welcoming and professional environment for employees and visitorsMinimum Skills Required:5+ years of experience supporting senior executives, preferably in operations or supply chain environmentsExperience with office or facilities coordination strongly preferredExceptional organizational, communication, and problem-solving skillsHigh level of professionalism and ability to handle confidential informationProficiency in Microsoft Office (Outlook,PowerPoint, Excel) and collaboration toolsAbility to manage multiple priorities with attention to detail and follow-through.
