Position Type: District Office/District Office Clerical Date Posted: 3/10/2026 Location: Indian River Central School District Date Available: 03/30/2026 Closing Date: 03/20/2026 Job Title: Senior Account Clerk, 8 hours per day, 12 months Job Location: District Office Hourly Rate: $27.00 per hour or commensurate with experience Application Due Date: 3/20/26 Anticipated Position Start Date: 3/30/26Overview: The Accounts Payable (A/P) Senior Account Clerk is responsible for accounts payable, cash management, cafeteria reporting, and some accounts receivable processes. Their primary responsibility is in processing payment for all invoices for the District in a timely, accurate and organized way that ensures on-time payments with no late fees unless there are extenuating circumstances outside of their control. Immediate Supervisor: Business Official Responsibilities: Execute the following functions in accordance with all school policies, NYS law, and accepted accounting regulations while being fiscally responsible and supporting a quality education in a safe environment. Accounts Payable - All A/P processing - Coding correctly to general ledger accounts, ensuring the payment requests are valid, match related requisition/PO, and the service/equipment has been received Liaising with vendors validating information, correcting invoices, and attaining appropriate backup documentation Monitoring appropriation accounts, encumbering against anticipated invoices, adjusting balances, reporting on status/usage of funds, and making recommendations as needed Creating balanced check runs that have no (or less than 1%) issues in the Claims Audit process Maintaining organized files of paid invoices that are easily accessible and can be stored at each year end with minimal effort Maintaining an equipment list to be used by Fixed Asset Inventory process as a monthly or annual control Monthly analysis/reporting of outstanding open POs; concerning situations; trending of key accounts, and year end organization/closure of all open POs Managing all activities and compliance for W-9s and 1099s with all vendors with easily accessible evidence of compliance and periodic reporting identifying concerns. Ensuring timely payments with little to no delinquencies for the district (no late fees) Cash Management - check/cash management (including cash from retiree health/dental insurance premium, extracurricular, pool, etc. to prepare deposits for 100% accuracy) Accounts Receivable - research, statements and analysis (billing done elsewhere) Create/maintain written procedures for all key processes position is responsible for Adhere to the Indian River Business Office commitment of providing customer service to the members of our district in an effort to support learning opportunities for students. Identify and implement continuous improvement opportunities in regards to efficiencies, effectiveness and embracing new best practices in either your role or team member roles All other Business Office functions as assigned OUTPUTS: Check runs/Warrants Organized Files of Paid Invoices Deposits (checks/cash/slips) Equipment List A/R Reporting (TBD) Open PO Reporting Other Reporting/Analysis - tbd DOCUMENTED PROCESSES MINIMUM QUALIFICATIONS: (A) Graduation from a regionally accredited or New York State registered college with an associate's degree in accounting, business administration, or related field and one year of experience in maintaining financial accounts and records; OR (B) Graduation from high school or possession of a high school equivalency diploma and three years of experience in maintaining financial accounts and records; OR (C) An equivalent combination of training and experience as defined by the limits of (A) and (B) above. The selected candidate must be currently employed by the Indian River District with the title "Senior Account Clerk" requesting reassignment OR be reachable on the current Jefferson County Civil Service certified "Senior Account Clerk" list or qualified for the title and willing to test for the Senior Account Clerk title.
