POSITION SUMMARYThe Fleet Administrator will assist US Fleet Operations Manager by overseeing day to day vehicle acquisition, maintenance, insurance repairs and claims, driver training, audits, data entry and analysis, GPS tracking, and driver trailing, as well as providing assistance and support for internal operations. ESSENTIAL FUNCTIONSPerform all fleet training for both internal and field employees.Set up and oversee all fuel cards.Assist Fleet Operations Manager with day to day fleet business.Oversee the scheduling and set up new vehicles, GPS installs and removals, and turn in of old vehicles.Work with Fleet Management Company, vendors and suppliers in setting up install/repairs to equipmentHandling the organizing and distributing registration renewals and insurance cards.Manage all insurance claims to company vehicles.Screen all fleet complaint calls and report to appropriate manager/HR.Create policies to ensure fleet safety for all drivers.Establish and monitor driver training program for all field driversConduct and manage all MVR checks of company drivers to ensure valid licenses.Scheduling routine maintenance and arranging rentals as needed.Acquire data by running reports such as GPS tracking and speed reports for multiple departments.Import/enter data into Excel spreadsheets to track driver safety and training.Accurately process vendor contracts, invoices and requisitions in finance software systemObserve all Health, safety, and security procedures. Reports potentially unsafe conditions.Overseeing the set up and or relocation of storage facilities for Field Operations.Overseeing all monthly invoices and distributing them to Finance for payment.Overseeing and setting up of any trash removal services needed for Field Operations.SKILLS• Must have knowledge and experience with Microsoft Excel and Word.• Must have experience with trending and charting• Must have strong analytical skills, the ability to collect, organize and analyze information with detail and accuracy.• Must be computer savvy using applications, Windows PC, and Contact Management systems.• Ability to read and interpret documents such as procedural, operating, and maintenance.• Ability to write routine reports and correspondence• Ability to accurately interpret and understand written, oral, or diagram instructions.ATTRIBUTESCapacity for listening, dealing with confrontation, and overcoming objections.Should possess good reading skills and have a clear speaking voice with a customer-centric mentality.Excellent verbal and written communication skills.Works with a team and contributes to a positive environmentApproaches others in a tactful manner; Reacts well under pressure; accepts and adapts to frequent change.Adheres to work schedule.Works with integrity and ethically; supports organization's culture, goals, and valuesEDUCATION/EXPERIENCEAssociate's degree (A.A) or equivalent experience with date entry, spreadsheets, and running daily reports.
