Human Resources Assistant Under the guidance of the Senior Human Resources Manager, the Human Resources Assistant supports a wide range of administrative and project-based functions. Key responsibilities include assisting with applicant sourcing, coordinating orientation and onboarding activities, creating and updating data analytics, maintaining personnel e?files, communicating firm policies and procedures to employees, supporting wellness initiative and organizing social and community service initiatives. This role also provides general administrative support for various HR projects and day?to?day operations. This position is based in the New York office. Candidates should have experience using the Microsoft Office Suite, a willingness to explore and learn new HR software applications, and familiarity with LinkedIn and other social media platforms. The role requires a strong commitment to confidentiality, exceptional attention to detail, and the ability to organize and prioritize multiple tasks. Creativity in planning events and designing invitations, along with the ability to work effectively with a wide range of individuals, is essential. As a key member of our team, the Human Resources Assistant plays an exciting and impactful role in creating a positive employee experience and supporting daily HR operations. Key responsibilities include: Provide comprehensive administrative support throughout the entire employee life cycle, including recruiting, onboarding, and orientation. Maintain accurate and compliant electronic personnel files while supporting ongoing auditing requirements. Source candidates through the applicant tracking system, coordinate interview schedules, and support the overall recruitment process. Assist with tracking PTO requests and maintaining department calendars. Process HR-related expenses and contribute to budgeting efforts, including sourcing catering for meetings and events. Serve as an HR ambassador by reinforcing policies, procedures, and best practices across the office. Draft clear and engaging office-wide communications and develop presentations for meetings and trainings. Ensure ongoing compliance with NYC anti-harassment and anti-discrimination mandatory training requirements. Assist in facilitating six-month performance reviews and prepare concise summaries of feedback. Demonstrate creativity by designing invitations and managing RSVPs for social activities. In coordination with our Conference Services team, design invitations and coordinate social events and community service initiatives that strengthen our culture and community impact. Build and maintain strong relationships with community service partners and external vendors. Support logistics for various HR meetings, including conference room scheduling and virtual meeting coordination. Oversee the ordering of flowers, gifts, and acknowledgments for special occasions and employee milestones. Actively participate as a member of the Office's Social Committee, Community Council, and Wellness Committee. Perform a variety of administrative duties and special projects as assigned by the Senior Human Resources Manager and Director of Administration. The actual compensation offered to a candidate will be dependent on a variety of factors including, but not limited to, the candidate's experience, qualifications, and locations. This range is specific to our New York City office and may not be applicable to other locations.
