The Role The Office Services Associate supports daily operational functions that enable a consistent, efficient, and high-service workplace experience. This role executes core Office Services responsibilities across shipping and receiving, mailroom operations, supply management, dispatch support, and general operational readiness while maintaining strong service standards and operational accuracy. This position is task-focused and process-driven, ensuring that office workflows run smoothly, business partners receive timely support, and operational standards are upheld. Key Responsibilities Shipping & Receiving Operations Receive, sort, and process incoming packages and deliveries. Scan and log inbound and outbound shipments accurately. Coordinate package movement between receiving areas and internal destinations. Maintain clear chain-of-custody and tracking visibility. Support outbound shipment preparation, including packaging, labeling, and documentation. Ensure operational areas remain secure and organized during delivery workflows. Mailroom & Logistic Support Execute daily mailroom workflows according to Office Services standards. Support domestic and international shipment processing. Verify shipment details, including ownership, purpose, and delivery requirements. Maintain shipment tracking logs and communicate status updates when needed. Ensure shipping supplies and materials remain stocked and operationally ready. Escalate operational issues or delays to leadership appropriately. Office Supply & Inventory Management Maintain supply rooms and organize inventory storage. Restock shared office supplies based on established par levels. Monitor usage trends and communicate replenishment needs. Support inventory audits and supply tracking processes. Ensure supply areas meet cleanliness and organization standards. Dispatch & Service Support Assist with internal delivery routes and scheduled service runs. Support the distribution of internal materials, documents, and operational items. Execute time-sensitive delivery requests according to service expectations. Maintain clear communication on completion of assigned tasks. Operational Readiness & Workspace Standards Maintain a clean, organized, and professional operational environment. Perform daily opening and closing procedures as assigned. Conduct equipment checks to ensure tools and systems are operational. Follow safety, security, and compliance protocols. Support continuous improvement initiatives within Office Services. Service & Collaboration Expectations Deliver professional and courteous service to employees, partners, and visitors. Collaborate effectively with internal teams and Office Services leadership. Adapt to shifting priorities while maintaining operational consistency. Demonstrate ownership and accountability for assigned responsibilities. Support a culture focused on efficiency, service quality, and operational excellence. Requirements Experience in office services, mailroom, logistics, facilities, or operational support preferred. Strong organizational and time management skills. Ability to manage multiple tasks in a fast-paced environment. Basic proficiency with shipping systems, tracking tools, or operational technology. Strong communication skills and attention to detail. Ability to lift and move packages consistent with operational requirements. Preferred Skills Experience with shipping platforms (FedEx, courier systems, or similar). Familiarity with corporate office services or facilities operations. Experience with workflow tracking, process documentation, or operational reporting. Experience with budgeting or finance Location and Work Conditions This is a full-time, non-exempt position primarily onsite based in New York, NY. Days and hours of work are Monday through Friday, 9:00 a.m. to 6:00 p.m. Compensation The hourly base rate for this position is $23.00 an hour. This position is also eligible for benefits and a discretionary bonus. Ultimately, the salary may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
