Assigned duties include, but are not limited to, composing and preparing correspondence, organizing and maintaining engineering, recreation, and law enforcement filing systems, which encompass both electronic and hard-copy files and databases, thereby enhancing overall efficiency. Supervises a variable status Clerical Assistant.EQUIPMENT AND/OR SOFTWARE OPERATED/USED: The following are examples only and are not intended to be all inclusive:SSI, Web Portal, Computer, Microsoft Office HERENTLY HAZARDOUS OR PHYSICALLY DEMANDING WORKING CONDITIONS: None.Note: In accordance with the U.S. Department of Labor physical demands strength ratings, this is considered sedentary work.JOB DESCRIPTION AND WORKER CHARACTERISTICS:JOB DUTIES in order of importanceESSENTIAL FUNCTIONS OF THE POSITION:40% (1)Works closely with Engineering Project Managers and the Construction Coordinator to assist with construction administration duties. These duties include, but are not limited to: advertising, plan ordering, bidding, awarding bids, contract execution, progress monitoring, schedule analysis, processing final contract closeout documentation, coordinating prevailing wage information from contractors, and maintaining accurate project tracking systems.20% (2) Monitors and responds to engineering and recreation department phone calls, emails, and other correspondence as directed; responds to inquiries for the engineering and recreation department staff from internal staff members, vendors, contractors, consultants, and the general public by providing information and facilitating problem resolution.20% (3) Enters requisitions and purchase orders for the recreation department and the Deputy Chief of Ranger Operations. Assists with entering requisitions and purchase orders for the engineering department. 10% (4) Performs day to day administrative tasks for the Deputy Chief of Ranger Operations (e.g., uniform ordering, training records, records/certifications, etc); performs daily mail sorting; orders supplies.5% (5) Prepares documents (e.g., memos, contracts, and reports) for the Board.Maintains required licensures and certification, if any.Meets all job safety requirements and all applicable safety standards that pertain to essential functions.Demonstrates regular and predictable attendance.OTHER DUTIES AND RESPONSIBILITIES:5% (6) Performs other related duties as assigned.Attends meetings, as directed; attends training and seminars, as directed.MINIMUM ACCEPTABLE CHARACTERISTICS: (*indicates developed after employment)Knowledge of: Agency policies and procedures*; grammar; records management; general office practices and procedures; office machines such as copiers, faxes and personal computers; notary procedures.Skilled in: Math; business software applications; organizing and prioritizing work; written and verbal communication.Ability to: Communicate effectively; write business letters, proofread, interpret instructions in written or oral form; multitask; maintain confidential informationPOSITIONS DIRECTLY SUPERVISED:Variable Clerical Assistant. QualificationsQUALIFICATIONS: Possession of a Associate's Degree in Business Management or Construction Management, Secretarial Science or related field; six (6) or more months of related experience; or any equivalent combination of education, experience, and/or training which provides the required knowledge, skills, and abilities to perform the essential functions of this position.LICENSURE OR CERTIFICATION REQUIREMENTS: Notary Certification, OHIO EPA ID.
