Position Type: Administrative Assistant/Secretary - 12-MonthsDate Posted: 3/3/2026Location: Transportation DepartmentDate Available: 7/26Position: Transportation Technician Job Type: Full-time Contract: 260 days; 12 month employee Salary Scale: Per approved board scaleFLSA Status: Non-Exempt/Essential Personnel General Definition of Work: Performs intermediate skilled administrative bookkeeping for the Transportation Department and scheduling for drivers activity, sports and all trips providing a variety of administrative assistant duties and clerical support in an office environment, and related work as apparent or assigned. Work is performed under the moderate supervision of the Director of Transportation. A CDL is preferred, but not required. The hours for this position are 7:30 a.m. to 3:30pm.Minimum Qualifications: General knowledge of standard office practices, procedures and equipment; general knowledge of business English, spelling and arithmetic; general knowledge of school system routine, personnel procedures and record keeping; general knowledge of basic first aid practices; skill in the use of computer equipment and related software packages, hardware and peripheral equipment; ability to develop and follow detailed work procedures; ability to type accurately and at a reasonable rate of speed; ability to establish and maintain effective working relationships with associates, bus drivers, parents, students and the general public is critical. The omission of specific duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.Coordinate and manage logistics for departmental meetings and events, including reserving facilities, arranging catering and overseeing event set up.Composes and types letters, memos, reports, bulletins, requisitions, invoices, schedules and recordsPosts receipts and disbursements to proper accounts; prepares a variety of special and periodic financial reports; and submits semi monthly time keeping reports to payroll.Prepares and maintains payroll, leave and personnel files while monitoring part time hours for ACATracks miles and student ridership for DOE reportsNotifies schools of late buses during the morning routesSchedules the coverage for drivers for Drug Testing and completes all reportingCreates and maintains vehicle reports used to collect data for the Virginia Department of Education (bus and car mileage, number of students, including special need students transported daily, deadhead mileage for drivers each year)Dispatches daily to drivers any information needed regarding their students or route (back-up) (Lead Dispatcher)Updates and maintains all student information on both in county and out of county students driven by car/ busCoordinates all field trips with schools and assign drivers to the trip by using the field trip programSchedules all meetings including in-service meetings for driversMaintains absenteeism log for all driversCoordinates with Athletic Directors for all sports tripsMaintains and assigns drivers for car request, field trips and sports tripsAnswers telephone; meets the public; acts as information specialist to public and faculty regarding a variety of matters related to transportation operations and policies in a professional mannerProactively manage and coordinate the Directors calendar, prioritizing meetings and ensuring efficient time management Assisting with the Directors schedule Composes and types letters and memoranda in conformance with school policies and from brief instructionsPerforms other related tasks as requiredKnowledge, Skills and Abilities: General knowledge of standard office practices, procedures and equipment; general knowledge of business English spelling and arithmetic; general knowledge of school system routine, personnel procedures and record keeping; general knowledge of basic first aid practices; skill in the use of computer equipment and related software packages, hardware and peripheral equipment; ability to develop and follow details work procedures; ability to type accurately and at a reasonable rate of speed; ability to establish and maintain effective working relationships with associates. Education and Experience: An Associate's degree is preferred; High school diploma or GED and moderate experience providing general office support, or equivalent combination of education and experience. Special RequirementsPossession of an appropriate driver's license valid in the Commonwealth of Virginia and the ability to operate motor vehicles.
