Senior Property ManagerThis position entails the direct responsibility of the physical operations and property management support for the team responsible for Menlo Corporate Center in Menlo Park, Terra Bella, Middlefield and Page Mill / Porter in the Silicon Valley. This position has three direct reports, one Property Manager, one Assistant Property Manager and one Property Coordinator. A college degree is highly preferred.Must have extensive experience in preparing financial reports, monthly variance reports, operating budgets, forecasting, CAM reconciliations, and be computer literate.Must be willing to travel to properties and property offices based on need.Minimum of 15+ years in management of office or industrial commercial real estate required with a background covering Class 'A' office property operations, with at least 3-5 years in senior management position.Experience in managerial oversight and mentoring of individual direct reports and overall team management, including cross training.Summary of Responsibilities:Act as point person with Lease Administration, Revenue Accounting, Operations Accounting and Finance on all lease abstracts, rent and operating expense commencement, estimates and reconciliation.Perform lease administration including adjustments to rent, billing and credit requests, operating expense reconciliations, and other necessary functions related to lease compliance.Monitor accounts receivable closely to ensure timely payment of all monies due and input comments in accounts receivable action log.Follow corporate inspection schedule for exterior and interior building common areas to ensure that the buildings' cleanliness is up to standards, and grounds are maintained in a first-class marketable condition. Consult with outside vendors regarding their expected performance and monitor vendor contracts for compliance.Oversee and supervise on-site Kilroy Realty and 3rd party staff for the project.Host regular staff and budget meetings with property and engineering team. Attend other Asset Management Team meetings as scheduled.Participate in new, lease renewal and expansion process as well as vacant space marketing programs, including tour accompaniment and participation in leasing calls as needed. Maintain familiarity with VTS and be prepared to assist Leasing team on all leasing initiatives.Participate in tenant and building improvements, represent asset management and ensure that Tenant(s) and the KRC construction team understand the work letter fully. Push completion dates for timely occupancy, lease commencement and revenue recognition.Administer and bid service contracts, manage, and oversee vendor performance to ensure compliance and high-quality service. Engineering, Janitorial, Security, Landscaping, Window Washing, Curtain Wall, Metal Maintenance, Parking Structure Management, Sweeping, Pressure Washing, Pest Control, Elevators, HVAC Repair / Maintenance, Metal Maintenance, Wood MaintenanceMaximize parking garage revenue where applicable through rate monitoring and monthly coordination meetings with garage operator. Actively manage parking operations. Seek ways to improve parking revenue.Coordinate tenant moves and sub-tenant moves, collaborate with Lease Administration and Revenue Accounting on lease abstracts, rent and operating expense commencement schedule.Work closely with property and engineering staff to ensure proper repair and maintenance of building systems. Monitor team performance in Angus to identify recurring trends and ensure work order response and completion times are within specified goals.Work with engineering and property team to execute and implement standard procedures for national, federal, county and city regulatory permit compliance requirements in accordance with company policy and procedures.Actively participate and manage annual capital and operating expense budget preparation for on-time budget deliverables. Collect data from vendors and input of information. Analyze past year occupancy against in place leasing and future assumptions. Maintain a 5-year capital plan for each asset.Prepare accurate, clear and timely financial re-forecasting and variance reporting, including revenue and expenses. Compare budget to actuals and conduct thorough analysis to determine underlying factors for discrepancies and clearly explain the findings.Prepare and review monthly accounting reports, including but not limited to: Commercial Billing Report, Tenancy Schedule and Occupancy Review.On-time completion of physical and leased occupancy trackers, variance reports, forecasting, sundries billing and accruals as required per Asset Management calendar.Responsible for reviewing and approving all invoices and routing as needed for Asset Manager's review and approval. Includes follow up on any outstanding invoices or incorrect billings to resolve discrepancies in a timely manner.Establish a working relationship with all key tenant contacts. Maintain liaison through site visits, email, telephone calls, lunches and special events. Meet all new tenants prior to occupancy. Host monthly operational meetings with key tenants.Be fully knowledgeable with DocuSign and KRC signature authority policy. Prepare DocuSign envelopes and routing packages for vendor and tenant documents as required.Monitor and submit capital job cost accruals as requested by construction accounting.Review annual CAM estimates, mid-year adjustments and reconciliations for accuracy. Collaborate with operations accounting to ensure CAM charges and credits match lease requirements and structure. Ensure tenant letters, CAM Estimates, Statements and mid-year adjustments (when applicable) are sent out as required per tenant leases and maintain electronic records of each.Ensure that Property Team reviews and maintains current Security Post Orders, ERPs and tenant and vendor contact list including emergency contacts.Ensure that the operations staff is trained and skilled with emergency procedures including performing simulations, as well as other delegated assignments. Conduct emergency drills and coordinate with tenants' emergency processes and drills. Host periodic staff tabletop training sessions and communicate with KRC CMT as necessary.Work with Property Management, Security, and Risk Management in responding to emergency situations. Responsibilities include communication with Crisis Management Team (CMT), preparing incident reports and maintaining accurate and up to date records.Maintain Sharepoint administrative files and records relevant to building operations and tenants. Prepare written reports as required by operating procedures for building and other incidental correspondence that is pertinent to management operations. Maintain files containing written records of maintenance services. Maintain consistency of SharePoint file structure across all buildings.Work with Asset Manager to maintain Stevenson space accounting books, stacking plans, options and encumbrances, letters of credit and sublease tracker.Perform other tasks as directed, including but not limited to the general duties and building operational responsibilities with a focus on training and mentoring Kilroy on-site staff how to perform many of the general duties and responsibilities.What We Offer:At Kilroy, base pay is one part of our total compensation package and is determined within a range. The base pay range for this role is between $115,600 and $165,000, your base pay will depend on your skills, experience and training, knowledge, licensure and certifications, and other business and organizational needs.
