Job Description:
This position is for the 2025-2025 school year. Estimated Start Date: April 15, 2026 Job Classification: Classified 12-month (230 days) Reports to: School Principal Pay Scale: Classified Salary Schedule, Salary Grade 6 Education and/or Experience: High school diploma with training in a related area or at least two years of work experience in a related area. The employee must be adept at using word processing systems, spreadsheet functions, and financial software. Summary: Assist administrators by managing the school accounts, data integrity, and custom expenditure reports to further increase the use and effectiveness of the financial system. ESSENTIAL DUTIES AND RESPONSIBILITIES: Provide assistance to the principal, students, and staff with daily and special activities. Review purchase requisitions and process, record, and verify funds for purchase orders in conformance with school policy. Code and check all purchase orders and invoices for accuracy before processing and presenting for approval. Maintain records of goods and services ordered and received. Communicate with the principal and staff regarding accounts payable, account balances, and the preparation and processing of purchase orders. Prepare payments by verifying documentation and processing disbursements. Ensure accurate and appropriate recording of expenditures. Manage the preparation of and mailing of checks for the payment of accounts payable and other debts. Maintain forms and paperwork to secure transportation for field trips and extra-curricular activities. Receive, log, and maintain incoming receipts on the check register. Receive, count, verify, and deposit monies daily following established school policy. Submit the initial claimant information for Worker's Compensation incidents. Balance the school activity account ledger monthly, assist in the reconciliation of cash balances, and report quarterly financial statements to the Chief Financial Officer. Act as support to the secretary position, receiving and routing incoming calls courteously and professionally, and composing informational correspondence for the principal, staff, and parents. Maintain accounts payable and receivable records, including requisitions, purchase orders, checks, vendor lists, invoices, and receipts consistent with the standards required by the Principal, Finance Director, Superintendent, local and state boards of education, and the annual audit of same. Performs other duties, as assigned.
