Community Manager - Property ManagementFull-Time | On-Site | Professional Office Environment We are seeking a highly organized, detail-oriented Community Manager to lead daily operations of a multifamily residential community. This role is ideal for a strong leader who thrives in a fast-paced environment, understands compliance-driven housing, and takes pride in maintaining high operational standards and resident satisfaction. Daily attendance is essential to this role. Professionalism, honesty, integrity, and transparency are mandatory. Position Overview The Community Manager is responsible for the full oversight of property operations including leasing, compliance, financial performance, resident relations, vendor coordination, and property maintenance. This role requires strong administrative discipline, customer service excellence, and the ability to manage multiple priorities while maintaining Fair Housing compliance. Key ResponsibilitiesDaily Operations Open and close office (unlock/lock, signage, lighting, blinds) Clock in/out daily and maintain professional business attire Utilize property management systems daily (Outlook, Rent Manager, TEAMS) Review calendar for move-ins, move-outs, vendor activity, and appointments Answer phones, respond to emails, greet walk-ins professionally Document all prospect and resident interactions in Rent Manager Process applications immediately and perform screenings upon fee receipt Manage mail (open, scan, deposit, distribute) Schedule and conduct move-in/move-out inspections Upload inspections and process resident charges within 10 days Walk property multiple times weekly to ensure curb appeal and compliance Create and follow up on service requests and corrective actions Coordinate with maintenance on supplies, vendors, and preventative maintenance Handle resident concerns and document using appropriate forms Submit invoices and receipts promptly to accounting Ensure office systems and documentation are maintained daily Weekly Responsibilities Deposit rent payments multiple times per week (minimum weekly) Review Unit Availability Listing (UAL) for accuracy Manage recertifications and lease renewals Deliver required notices in compliance with policy and HUD guidelines Monitor occupancy and recommend leasing strategies or promotions Complete and upload weekly reporting (by Wednesday EOD) Track third-party vendor performance (landscaping, snow removal, extermination) Maintain inventory of office and cleaning supplies Meet with auditors, bank representatives, insurance agents, and ownership as needed Monthly Responsibilities Post recurring charges and review rent roll accuracy Manage recertification and renewal letters (120-day / 90-day compliance) Enter and deposit rent payments daily during first week of month Post late fees and deliver appropriate notices (3-day or 30-day depending on program) Coordinate delinquency follow-up and eviction proceedings with supervisor Schedule preventative maintenance and pest control Track capital improvements per budget Maintain updated insurance certificates for all contractors Implement resident engagement activities and distribute monthly newsletter Quarterly Responsibilities Complete required Gracehill training Solicit competitive bids for vendors (lawn, snow removal, turnovers) Coordinate NSPIRE and Non-NSPIRE inspections Ensure corrective actions within required timeframes Maintain compliance documentation and Property Binder updates Escalate non-compliance issues appropriately Qualifications Property management experience required (Affordable/HUD/HCV preferred) Strong knowledge of Fair Housing compliance Experience with property management software (Rent Manager preferred) Excellent communication and organizational skills Ability to manage financial reporting, deposits, and delinquency Vendor management and budgeting experience Strong leadership and follow-through mindset Professional business attire required (no athletic wear, hoodies, leggings, etc.) What We're Looking For High accountability and reliability Detail-driven and process-oriented Customer-focused yet compliance-minded Strong operational discipline Ability to lead maintenance coordination effectively Why Join Us?
