Job Type Full-timeDescriptionTitle: Crew CoordinatorLocation: Lettsworth, LAEmployment Type: Exempt/SalariedClassification: Full TimePosition Summary: The Crew Coordinator is responsible for managing all aspects of vessel crewing, including scheduling, logistics, and communication with personnel. This role ensures that crew changes are executed accurately, efficiently, and in compliance with company standards. The Crew Coordinator also serves as a central point of contact for crewing emergencies and will participate in an on-call rotation for after-hours coverage.Key Responsibilities: • Plan, organize, and execute crew changes for all vessels, ensuring accuracy and efficiency.• Confirm availability of crew members and communicate details of assignments (when, where, how, and with whom).• Arrange logistics such as rental cars, hotels, and fuel reimbursements when needed.• Maintain structured communication with the Personnel Manager to ensure all moves and crew changes flow through the proper channels.• Monitor crew availability and work/rest hours to ensure compliance and prevent shortages.• Manage payroll reconciliation related to crew changes.• Oversee fuel card distribution and ensure they are maintained under company procedures• Oversee crew vehicle fleet and be responsible for ensuring preventive maintenance is upkept• Provide training and mentorship to deckhands as part of the development pathway into wheelhouse positions.• Track crew credentials• Collaborate with Personnel Manager and Port Captains to anticipate and meet vessel staffing needs.After-Hours & On-Call Responsibilities:• Be available after hours for crewing emergencies or order changes.• Participate in an on-call rotation with the Personnel manager and Training Coordinator to cover all after-hours calls, including weekends and holidays.• Respond promptly to emergencies, ensuring vessel operations remain staffed and uninterrupted.Qualifications:• Strong organizational and communication skills with attention to detail.• Ability to handle multiple tasks under time-sensitive conditions.• Knowledge of maritime crew scheduling, regulations, and company operations preferred.• Demonstrated ability to work independently and as part of a team.• Willingness to adapt to a flexible work schedule, including after-hours responsibilities.• Proficiency in Microsoft Office (Word, Excel), Google platforms, and related applications.• Strong computer, phone, and tablet skills.Note: This job description provides a general overview of the typical responsibilities and qualifications for a Crew Coordinator.
