Job Description:
Position Summary The Wedding Specialist is responsible for generating and managing wedding business for the resort, including ceremony and reception events as well as associated guest room blocks. This role manages the entire lifecycle of the wedding experience-from initial inquiry and site tours through contract negotiation, event planning, and vendor coordination -ensuring a seamless and memorable experience for couples and their guests. The Wedding Specialist works closely with Sales, Catering, Event Operations, Food & Beverage, and Rooms teams to ensure flawless execution while maximizing revenue and guest satisfaction. Key Responsibilities: Sales & Revenue Generation • Actively solicit, book, and contract wedding ceremonies, receptions, and related events. • Generate group room block business tied to weddings and social celebrations. • Respond promptly to wedding inquiries through phone, email, website leads, and third-party platforms. • Conduct property site tours and virtual presentations for prospective couples and wedding planners. • Prepare proposals, contracts, and banquet event orders in accordance with resort policies. • Achieve or exceed established revenue goals for weddings, catering, and group room blocks. Event Planning & Client Management • Serve as the primary point of contact for couples from booking through event completion. • Coordinate all wedding logistics including venue setup, menus, décor, timelines, entertainment, and vendor coordination. • Lead planning calls and maintain consistent communication with clients. • Develop detailed banquet event orders and communicate event requirements to operational departments. • Manage guest room block reservations and ensure accurate tracking and pickup; completing the group resume. Event Execution • Oversee wedding ceremony and reception setup and ensure all elements meet resort standards. • Coordinate with vendors such as photographers, florists, officiants, and entertainment. • Ensure flawless execution of events while providing exceptional guest service. • Address and resolve any event-related issues promptly and professionally. Administrative& Reporting • Maintain accurate records within the resort's sales and catering systems (CI/TY). • Track leads, contracts, and revenue forecasts. • Prepare weekly and monthly wedding sales reports. • Ensure contracts, deposits, and payments are processed in accordance with resort policies. Qualifications • Bachelor's degree in Hospitality, Event Management, Marketing, or related field preferred. • 2-5 years of experience in wedding sales, catering sales, or event management, preferably within a luxury resort or hotel environment. • Proven ability to generate wedding business and manage events from concept through execution. • Strong organizational, communication, and negotiation skills. • Exceptional attention to detail and ability to manage multiple events simultaneously. • Knowledge of wedding trends and destination wedding planning preferred. • Proficiency in hotel sales and catering software systems is a plus.
