Submit Your Application Position Description The Contract Administrator, plays a critical role in overseeing all aspects of contract administration, including contract review, and compliance. You will collaborate with various stakeholders, including clients and subcontractors, to ensure that contracts are accurately prepared, implemented, and maintained. Responsibilities:Principal Duties and ResponsibilitiesContract Administration & Documentation (Administrative Support) Assist Project Managers and Management with the administration of contracts throughout the project lifecycle, from execution through closeout. Prepare, distribute, and track contract-related documents, including bid packages, subcontract agreements, change orders, and related correspondence, as directed. Support the review of contract documents to ensure required forms, exhibits, and approvals are included prior to execution. Create and maintain electronic job folders, organize project cost codes, and reproduce construction plans as necessary. Maintain accurate, organized, and up-to-date project and contract files, including documentation, correspondence, and approvals. Subcontractor & Vendor Coordination Assist in assembling subcontract agreements and scopes of work in coordination with Project Managers. Distribute bid solicitations and contract documents to subcontractors and suppliers as directed. Track subcontractor and vendor compliance items, including insurance certificates, bonding, licensing, and required documentation. Communicate with subcontractors and suppliers regarding documentation requirements, submittals, and contract paperwork. Change Order & Cost Documentation Assist Project Managers and Estimators with the preparation, routing, and tracking of change orders. Maintain change order logs and supporting documentation to ensure accurate records for billing and cost reporting. Distribute approved change orders and maintain related documentation in project files. Support the documentation and processing of approved disbursements related to assigned projects. Project Controls & Recordkeeping Coordinate and track submittals, schedules, change orders, and distribution of updated construction documents to subcontractors and suppliers. Maintain, monitor, and organize project records and documentation for active and completed projects. Prepare administrative reports and summaries related to contracts, change orders, and compliance, as requested by management. Communication & Team Support Serve as an administrative point of contact between project teams, subcontractors, suppliers, and external agencies regarding documentation and reporting. Support the project management team with additional administrative and project-related tasks as assigned. Position Requirements Bachelor's Degree in Business Administration, Law, Supply Chain Management, or a related field. 2-5 years of experience in contract administration, procurement, or legal roles, depending on the level of the position. Familiarity with contract lifecycle management (CLM) software and enterprise resource planning (ERP) systems. Previous experience in negotiating contracts and ensuring compliance with legal and regulatory requirements. Exposure to construction industry Certifications (preferred): Certified Commercial Contracts Manager (CCCM) Certified Federal Contracts Manager (CFCM) Project Management Professional (PMP) Certified Professional Contract Manager (CPCM) Equal Opportunity Employer S.M.
