Job Description:
The Human Resources & Payroll Coordinator position is accountable for assisting in the overall human resources function of the bank, including the processing of payroll, maintenance of adequate employment files and company records, controls designed to mitigate risk, enhance accuracy and comply with company policy, as well as banking regulations. The ideal candidate will possess knowledge and experience in payroll processing, strong analytical and technical skills and perform a wide range of human resources, payroll, administrative responsibilities and uphold accountability for accuracy.The position of the Human Resources & Payroll Coordinator is an important role with the primary responsibility of providing support to the Bank's Human Resources team and reporting to the SVP - Assistant Controller & Director of Human Resources. The candidate will be exposed to all departments and have a broad range of responsibilities, providing a great opportunity to expand his or her professional skill set. The standard job hours are 8:30am - 5:30pm Monday - Friday. Additional time is often required to facilitate team meetings or meet required deadlines. The job is a full-time position and is located at the Bank's headquarters at 100 Jericho Turnpike, Suite 100, Jericho, NY 11753. Key Responsibilities: Manage and maintain overall company human resources records and employee filesProcess and Distribution of bi-weekly payrolls, funding & general ledger journal entriesManage the collection of payroll documentation and ensure that the weekly payroll process runs smoothly and accuratelyPreserve documentation to support payroll transactions and ensure it can be easily retrieved for review and auditsEnter, maintain, and/or process information in the HR system, information may include employees' hourly rates, salaries, commissions, bonuses or other compensation, time worked, paid leave, deductions and withholding, and other informationEnsure compliance with all federal, state, and local payroll regulationsAssist in resolving payroll discrepancies and issuesPerforms other related clerical payroll duties as assignedRecord daily attendance, maintain company vacation calendar, reconciliation of time off vs annual allotmentsEnsure that all activities are performed in compliance with the federal, state and Bank Secrecy Act regulatory requirementsManage the administration of employee benefits and annual open enrollment processProcess 401k funding and managing relationship with vendorsMonthly benefit invoice and associated journal entriesAdministration of job posting onboarding new hires, new hire orientation and terminationsAnnual review and renewal of employee handbook and code of conductAnnual testing for 401k and compliance calendarAnnual performance evaluationsQuarterly compensation reconciliationsAd hoc human resources data requestsEnsure that all activities are performed in compliance with federal, state and Bank Secrecy Act regulatory requirements.QualificationsBachelor's degree in human resources management, finance, accounting or business related 5+ years of experience in Human Resources-related position5+ years of experience in payroll processingExperience with PEO providers, such as Paychex Flex or ADP is strongly encouragedKnowledge of compensation, benefits and tax regulations related to payroll multi statesStrong communication and interpersonal skills with ability to interact with all levels of the organizationExcellent analytical and problem-solving skills and strong attention to detailAbility to work well in a fast-paced evolving team-based environment and consistently meet deadlinesStrong project management skillsStrong understanding of account reconciliations processLocation: Esquire Bank, Jericho, NY (On-site)Full time - M-F 8:30 am - 5:30 pmEstimated Salary Range:$100,000 - $120,000 / yearCompensation may vary based on education, skills, qualifications and/or expertise.
