Front Desk Receptionist / Administrative CoordinatorPosition SummaryThe Front Desk Receptionist / Administrative Coordinator serves as the first point of contact for visitors and callers while providing critical administrative and document support to internal teams. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced, professional office environment.Key ResponsibilitiesAnswer and manage a multi-line phone system, directing calls to appropriate staff and taking accurate messages as neededGreet and assist visitors, ensuring a professional and welcoming office experienceMaintain awareness of staff schedules and availability to properly route communicationsReceive, sort, and distribute incoming mail and packages; coordinate outgoing and express shipmentsEnsure reception area, meeting rooms, and common spaces are clean, organized, and presentableLog, track, and route incoming requests using internal systems, ensuring timely and accurate handlingCoordinate multi-step administrative requests across teams and follow up to ensure completionAssist with document preparation, including assembling materials, applying naming conventions, and verifying completenessPerform basic technical editing such as formatting documents, standardizing terminology, and correcting grammarTransfer and manage data across systems and templates with a high degree of accuracyMaintain organized electronic filing systems and document version controlSupport report generation, checklists, and internal tracking logsQualificationsHigh school diploma or equivalent required1-3 years of experience in a receptionist, administrative assistant, or office support roleProficiency in Microsoft Office (Word, Excel, Outlook)Experience with multi-line phone systems and general office equipment
