Position Summary This position requires the Office Manager to be responsible for phones and typing reports including MD eval/progress notes, organization of patient records. The Officer Manager will assist Director with PI reports, therapist credentialing, therapist scheduling, budget preparation, purchase orders and payroll. The Office Manager will assure confidentiality of patient information, assist with patient billing, scheduling and registration, computer entry, and insurance authorization. Job Duties& Essential Functions: Plans and works within established budget; implements cost saving procedures. Projects revenues as basis of budget, visits, evaluations, fitness renewals. Manages equipment purchasing and maintenance. Manages housekeeping contracts, landlord relations and scheduling. Good typing, computer and organizational skills. Investigates incident reports which occur within the department. Responds to any complaints regarding the facility. Cooperates with all personnel in the proper conduct of the department. Maintains ethical relationships. Adheres to hospital and departmental rules and regulations. Participates in in-service programs. Supply ordering and Pickup Patient Registration Abstracting and finalizing monthly bills – check requests Billing Input Verifying & getting authorization from insurance companies Deposit and verification of all monies received Respond to requests of documentation from outside sources Oversee all daily processes Requesting support services, and building maintenance items Payroll input Quarterly fire drills/ Annual disaster drill Monthly MD/Insurance Statistics Take check deposits to Chase in Greenport Prepare daily charts and encounters Maintenance and organization of all medical records Accounts payable and receivable Covering PT Therapy Aides on occasion MD communication Required Experience & Qualifications High school graduate or equivalent Ability to operate computer/fax/copier American Heart Association BLS AED certification - Must be American Heart with Skills Portion done in Person Preferred Experience & Qualifications Five (5) years clerical experience Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to communicate with patients, office staff and medical providers. The employee must be able to exchange accurate information in these situations. Good vision and hearing. Sufficient mobility and dexterity of both arms or mechanical substitutes to write and operate information of processing equipment. Ability to verbally communicate information internally and to external agencies.
