With approximately 40 employees (and growing), we are building the infrastructure to support expansion into new states while preserving the culture that defines us: accountability, compassion, and excellence.We are hiring an execution-focused Office Manager to work directly with our Chief of Staff.This role sits at the intersection of HR and day-to-day operations.This is a hands-on role for someone who values structure, clarity, and thoughtful execution. If you are detail-oriented, comfortable navigating sensitive conversations, and motivated to grow within a dynamic professional services environment, we want to hear from you.The RoleStrengthen and execute HR and operational systems that support our people, protect the firm, and reinforce day-to-day consistency.You will be expected to bring solutions, not just identify issues.When matters reach the Chief of Staff, they should be organized, documented, and positioned for thoughtful decision-making.Initially, this role is execution-heavy. Over time, there is opportunity to help streamline, systematize, and maintain the processes that support both HR and office operations.What You'll Own:Payroll & Benefits AdministrationSupport and audit payroll accuracy (including hours reconciliation across systems) prior to final approvalAdminister benefits enrollment, changes, and annual reviewsLiaise with our benefits broker and 401(k) providerSupport coordination of firm-level insurance policies and renewalsCompliance & DocumentationMaintain employee records, files, and disciplinary documentationDraft written warnings, corrective actions, and summary documentationSupport internal investigationsAssist with annual employee handbook upkeep and policy enforcementMaintain compliance with federal and state employment lawsHelp ensure consistency in policy application across the firmRecruiting, Onboarding & Employee LifecyclePost roles, screen candidates, and coordinate interviewsConduct first-round interviews and support hiring funnel executionOwn onboarding logistics and first-week orientationManage employee setup across systems (HRIS, benefits platforms, etc.)Support background and reference checksAssist with offboarding processes and documentationEmployee Relations & HR ExecutionSupport performance review processes and attend key HR-related meetingsAdminister employment changes (PTO, schedule adjustments, compensation requests) for approvalProvide guidance on HR processes and escalate when appropriateProvide compliance guidance to managersAssist with conflict resolution and employment changesMaintain structured documentation of employee interactions and updatesOffice Support & Vendor CoordinationCoordinate vendor relationships, office services, and workplace needsSupport office lease coordination and facility-related mattersManage office supplies, coordinate systems, and service providersMaintain consistency in day-to-day office operations and policiesFirm Operations & Internal CoordinationSupport firmwide calendar maintenance and communication of updates Coordinate firm events, internal initiatives, firmwide communications, and meeting agendas Contribute to maintaining organized, reliable internal systems across the firmWhat We're Looking For3-6 years of HR experience (more senior candidates considered)Experience coordinating payroll and benefitsStrong organizational and documentation skillsComfort handling sensitive and high-stakes conversationsProfessional, composed, and solutions-oriented mindsetInterest in growing within a structured, high-accountability environmentStrongly PreferredProfessional services or law firm experienceFlorida employment law familiaritySHRM-CP certificationHRIS experience (BambooHR a plus)Who You AreCalm under pressureDirect, fair, and thoughtfulStructured in your approach to documentation and follow-throughComfortable having accountability conversations when necessaryAble to balance empathy with standardsMotivated to contribute to a culture built on clarity and performanceYou understand that strong HR supports both people and results, and that consistency builds trustWhy This Role MattersYou will work closely with leadership and help strengthen systems.
