Job OverviewWe are a bookkeeping & tax service firm seeking a professional and organized Front Desk Receptionist to join our team. This role is essential in creating a welcoming environment for clients and visitors while efficiently managing administrative tasks.The ideal candidate will possess the ability to handle high call volume daily, excellent communication skills, strong organizational abilities, and proficiency in office management tools.This position offers an opportunity to contribute to a dynamic office setting, supporting daily operations and ensuring smooth workflow.DutiesHandle high call volume environment efficientlyGreet clients and visitors warmly, providing exceptional customer serviceManage multi-line phone systems, directing calls accurately and professionallySchedule appointments and manage calendars using Microsoft Office and other toolsPerform data entry, filing, and maintain organized recordsHandle incoming and outgoing correspondence, including emails and mail distributionAssist with billing, invoicing, and bookkeeping using QuickBooks or similar softwareSupport office management tasks such as ordering supplies and maintaining office equipmentProofread documents for accuracy and professionalismProvide administrative support to staff members, including typing reports and managing schedulesMaintain a clean and professional reception area at all timesSkillsHigh call volume efficiencyExcellent client serviceProficiency in Microsoft Office Suite (Word, Excel, Outlook) and other applicationsStrong computer literacy with experience in data entry, filing, and document proofreadingExcellent organizational skills with the ability to multitask effectivelyExceptional phone etiquette and customer support skills across multi-line phone systemsBilingual abilities are preferred to assist diverse client needsPrevious office management or clerical experience is highly desirableKnowledge of medical or dental receptionist procedures is a plusExperience with QuickBooks or bookkeeping software is advantageousStrong time management skills to prioritize tasks efficientlyAbility to handle confidential information discreetly and professionallyThis role requires a proactive individual who thrives in a fast-paced environment, demonstrating excellent communication, organizational skills, and technical proficiency.
