We are seeking a detail-oriented and dependable Payroll Specialist to join our team and ensure accurate, timely payroll processing across our multi-state workforce.This role is critical to supporting our employees and maintaining compliance with payroll regulations across all business units.Position SummaryThe Payroll Specialist is responsible for managing the full-cycle payroll process for Thermal Concepts, including weekly payroll processing, federal and multi-state tax handling, timecard verification, and employee reimbursements.This position requires a high degree of accuracy, confidentiality, and compliance knowledge to ensure employees are paid correctly and on time while meeting all tax and regulatory obligations.Key ResponsibilitiesPayroll ProcessingProcess weekly payroll for all employees accurately and on scheduleReview payroll batches to ensure completeness and accuracy before submissionEnsure deductions, garnishments, and adjustments are correctly appliedTimecard Review & VerificationReview and verify employee timesheets for accuracy and policy complianceInvestigate and resolve payroll discrepancies related to hours worked, overtime, and pay ratesTax ComplianceManage federal payroll tax filings and reportingProcess and maintain multi-state payroll tax compliancePrepare, submit, and maintain payroll tax documentation for all applicable jurisdictionsEnsure payroll tax liabilities are remitted on timeReimbursement ManagementProcess employee expense reimbursementsVerify supporting documentation and policy complianceRecordkeeping & ReportingMaintain organized, accurate payroll records for audits and reportingGenerate payroll reports as needed for finance, HR, and leadership teamsCompliance & AuditsEnsure payroll practices comply with federal, state, and local lawsSupport internal and external payroll audits as neededEmployee SupportRespond to employee payroll inquiries regarding pay, deductions, taxes, and reimbursementsProvide professional and timely payroll-related assistanceQualificationsRequired:Minimum 2 years of payroll processing experienceExperience handling multi-state payroll tax requirementsStrong understanding of payroll laws and tax compliance regulationsProficiency in payroll software systemsPreferred:Associate or bachelor's degree in accounting, Finance, or related fieldExperience in HVAC, construction, or field service industriesExperience with Vista by Viewpoint payroll systemSkills & CompetenciesHigh level of accuracy and attention to detailStrong payroll reconciliation and problem-solving skillsAdvanced Excel and payroll software proficiencyAbility to manage confidential employee data with discretionExcellent written and verbal communication skillsStrong organizational and time-management abilitiesWhy Join Thermal Concepts?Join a growing, stable organization with multi-state operationsBe part of a collaborative HR and Finance support teamOpportunity to contribute to payroll process improvement and efficiencyCompetitive compensation and benefits packageCareer growth within a dynamic and expanding companyApply TodayIf you are a payroll professional who thrives in a fast-paced environment and values accuracy, compliance, and employee service, we encourage you to apply.ThermalConcepts #PayrollSpecialist #PayrollJobs #AccountingCareers #MultiStatePayroll #VistaPayroll
