The re-designation process happens every four years. This position is scheduled for 20 hours per week, Monday through Friday. Specific working hours can be discussed during the interview process. Under general supervision, the incumbent in this position assists human resource team with administrative and technical responsibilities supporting all areas of Human Resources and Organizational Development. Supports and models behaviors consistent with the mission and philosophy of Billings Clinic and department/service. Provides administrative support for all areas of Human Resources, including compensation, benefits, recruitment and compensation. Provides administrative support in processing and coding of new hires, employee status changes, employee separations, FTE changes, new hires, re-hires, salary adjustments, employee separations, inactive status situations, secondary job codes and benefit related transactions. Will also support benefit and compensation related projects including data entry, data verification, assembly of benefit packets, preparing letters/correspondence, and annual benefit enrollment. Assist with reconciliation of billing invoices from carriers/vendors, annual benefit enrollment assistance, coding/balancing department invoices. Provides coverage and assistance for the main reception desk within HR. Answers telephones, assists walk-ins. Assists in recruitment activities which may include coordinating interviews and other administrative support. Provides coverage and assistance for the main reception desk within HR. Assists with a variety of duties including gift certificate ordering, distribution and recording, ordering supplies, ID badge management, PTO cash in processing and other various duties. Develops and maintains effective office procedures and efficient workflow to include telephones, filing, copying, and faxing documents. Identifies needs and sets goals for process improvements; meets all mandatory organizational and departmental requirements. Assists with vacancy incentive reviews, internal equity reviews. Maintains competency in all organizational, departmental and outside agency environmental, employee or patient safety standards relevant to job performance. Performs other duties as assigned or needed to meet the needs of the department/organization. Acts as an advocate and liaison, point of contact and resource for applicants providing information and responding to questions regarding positions within Billings Clinic. Responsible for weekly maintenance of the Billings Clinic job posting, telephone job line, job postings on the web site and recruitment advertisements. Assists Talent & Workforce Partners with developing, implementing and coordinating the employment, recruitment, placement, relocation and transfer programs in compliance with applicable government laws and regulations. Assists with screening of qualified applicants for open positions, coordinating interviews and reference checking. Assists with coordinating travel arrangements. Assists Talent & Workforce Partners with preparation for job fairs and college recruitment programs. Attends local job fairs and recruitment events and participates in promoting Billings Clinic as the employer of choice. Maintains records and information in accordance with legal requirements. Assists with developing a variety of reports regarding recruitment activities and expenses. Develops and implements systems for information processing and reporting which meet the needs of the department and customers including position management. Assists in composing and preparing correspondence. Develops and maintains effective office procedures and efficient workflow to include telephones, filing, copying, and faxing documents. Identifies needs and sets goals for own growth and development; meets all mandatory organizational and departmental requirements. Maintains competency in all organizational, departmental and outside agency environmental, employee or patient safety standards relevant to job performance.
