Job Description:
AP Executive Staffing is hiring a Sales Operations Assistant for our customer, a long-established manufacturer of specialty construction products. This fulltime, on-site role will work from their Batavia, NY location. This is a critical role that will work in a small, collaborative office environment to support daily customer communication, project documentation, office coordination, and sales operations.Specific duties will involve: Support the sales team with quotes, customer files, project folders, and documentationMaintain organized electronic plans, production paperwork, and internal recordsUpdate project statuses, customer information, and general activity within internal databasesAssist with vendor billing paperwork, packing slips, and shipping coordinationCommunicate with customers regarding project updates and order progressProfessionally answer incoming calls and route inquiries accordinglyCoordinate office supplies, equipment service, and general administrative logisticsParticipate in team meetings while documenting notes, follow-up tasks, and action itemsWhat We're Looking ForPrior experience in administrative support, sales coordination, customer service or project support in a construction environmentStrong multitasking and organizational abilityExcellent communication and customer interaction skillsIntermediate MS Office (Word, Excel, Outlook mostly)
