Under the general direction of the Clinical Operations Manager, the Program Coordinator will provide program management, administrative, and project management support to the BH Department of Anesthesiology, Perioperative and Pain Medicine. The ideal candidate will be detail oriented, able to work independently and exercise direction and judgment to complete work by appointed deadlines with minimal supervision and possess the ability to effectively manage multiple projects.At the Brigham, we place great value on being a diverse and inclusive community. Coordinates among multiple departments including Anesthesia, Emergency Medicine, Pulmonary, and Burns, Trauma, & Critical Care.Creates and manages the complex resident and Physician Assistant schedules for the Surgical and Thoracic Surgical ICUs. Coordinates among multiple departments including Anesthesia, Emergency Medicine, Surgery, Urology, Plastic Surgery, and Thoracic Surgery.Attends and participates in the SICU Leadership biweekly meeting as it relates to the resident and Physician Assistant scheduling.Manages all ICU schedule changes and updates in the Anesthesia scheduling system, QGenda, including incentive shift tracking.Works with clinical operations and ICU leadership to resolve known and unexpected staffing conflicts in advance to ensure continuity of patient care and efficient staffing operations.CLINICAL OPERATIONS SUPPORT AND PROGRAM COORDINATION:Coordinates CRICO malpractice insurance program compliance for clinical staff in collaboration with STRATUS Center management.Directs all HealthStream activity for the department: acts as the liaison between BWH HealthStream staff and eCare staff, monitors compliance for mandatory courses for 250 clinical staff as well as support and research staff, and is responsible for reporting to department leadership.Acts as a backup scheduler in the Anesthesia Scheduling Office as needed, ensuring the production of an accurate daily schedule for over 250 clinicians (attending anesthesiologists, CRNAs, fellows, residents, SRNAs and external clinical rotators).Acts as a backup for faculty and CRNA Benefit Time management as needed.Acts as a backup for leaves of absence (LOA) tracking for faculty. This includes providing instruction and guidance to faculty requesting LOAs, maintaining accurate records of faculty on leaves, and providing ad hoc reporting to department leadership.ADMINISTRATIVE DUTIES: Provides high-level administrative support departmental leadership including Clinical Operations leadership. This includes:Manages calendar and schedules: schedules group meetings, committee meetings, programs, and events. Ability to coordinate several calendars, resolve conflicts, and prioritize meetings.Assists and coordinates ad hoc needs of department leadership.Creates and implements systems for filing and distribution of information (i.e., policy changes, announcements, email lists, etc.) for departmental leadership.Makes travel arrangements as needed.Submits expense reports.Maintains Harvard formatted CVs.ADDITIONAL DUTIES: Provides program coordination support, including program planning and tracking for assigned programs.Participates in internal and external process improvement activities.Works closely with leaders to understand and support department operational needs.Ensures adherence to program management documentation framework including the recording of meeting minutes, follow-ups, and next steps.Performs special projects andor other duties as assigned. Develops and participates in projects to enhance department operations.Provides data analysis and reporting support for department operations.Assists in activities to help keep department operations running efficiently.Supports leaders in relation to budgeting and forecasting program's needs.Uses the Mass General Brigham values to govern decisions, actions, and behaviors. Comfort with learning new technology and tools quickly.
