Amundsen Davis, a full-service business law firm, is seeking a Records Assistant to join our St. Louis office. This position assists with daily operations to support the Firm's Records functions. This role will be responsible for initiatives and projects that frequently span multiple offices, legal practice areas andor administrative departments and involve direct interactions with partners, legal and administrative staff.Essential Duties and ResponsibilitiesProvides firm-wide multi-office records support including but not limited to the following:Maintains both electronic and physical records, which include accurately scanning records and filing records into paper and electronic folders.Identify and document records at offsite storage that have met retention requirementsReview records and documentation submitted by staff for compliance and accuracy; communicate discrepancies and requests for updatesPrepare records for offsite storage and disposal including movingarranging boxesAssist with fulfilling requests for records and retrieving boxes from offsite storageProcess inquiries, review of incoming requests, and filing in the DMS system.Performs data control responsibilities including but not limited to file closing, data entry, report preparation and filing, box preparation, indexing contents, document ventories all physical areas of records and keeps those areas clean and organized.Assists with audits various electronic data locations that houses records, such as DMS and shared drivesWorks with firm's Records Management software to maintain files and file locations.Assist with monthly reports and applicable clean up from those reports.Assists in special projects that may come forth, which may include research, setup, implementation, etc.Serves as back-up to office services.Helps maintain library materials.Any other duties as may be assigned.Periodic travel will be required to other offices in Wisconsin only.Has no direct supervision of others.QUALIFICATIONSEducation andor ExperienceBachelor's degree is preferred1-3 years of experience in a law firm records department with knowledge of the complete records process from opening to closing a file and understanding of various documentsExperience with 3E Records Module, preferredProficiency using iManage (DMS) preferredProficiency using PDF software and Microsoft Office (Word, Excel and Outlook) is requiredAbout the FirmAmundsen Davis is a full-service business law firm comprised of 240 attorneys headquartered in Chicago.
