GENERAL POSITION INFORMATIONPosition Title: Early Childhood Education Accounts RepresentativePosition Department:Community EducationReports To:Early Childhood Education ManagerPOSITION OVERVIEWPerforms administrative support activities for related Pre-Kindergarten programs. Duties include fielding telephone calls and emails to act as the primary point of contact for assigned campuses. Requires strong computer and Internet research skills, flexibility, excellent interpersonal skills, and the ability to work well with all levels of management and staff, as well as outside clients and vendors. Sensitivity to confidential matters is required.ESSENTIAL FUNCTIONSAnswer, screen, and direct incoming calls and emails, fieldsanswers all routine and non-routine questions.Follow up with parentsguardianscustomers on account inquiries.Be the main point of contact for PreK campuses across the network and respond to customer inquiries and resolve issues in a timely and professional mannerApprove and process application requests, including collecting, and verifying required documents.Receive payment, post amount to customer's account, invoice account, and set up billing plans.Able to process and manage subsidy accounts and caseloads.Processes system requests from campus program administrators and parentsguardianscustomers.Act as the primary point of contact for customers and serve as a liaison between internal teams and parentsguardians.Monitor customer accounts and proactively identify opportunities to provide additional supportDevelop constructive and cooperative working relationships with others, and maintain them over time.Works in cooperation with all departments to provide support as needed.Works independently and within a team on special non-recurring and ongoing projects.Performs a variety of administrative and clerical tasks as needed to support the operations of the Early Childhood Education Department. Works in setting program billing and accounts receivableSupports creating and maintaining databasesOrganize registration, retrieval, transfer and removal of records in the Early Childhood Education systemsContinuously develop knowledge of systems used through webinars and in-person professional development.QUALIFICATION REQUIREMENTSEducation, Certifications & ExperienceA.A.A.S. in Management or related field-(required) B.AB.S in Management or related field (preferred). 2+ years as an administrative assistant or in other secretarial positions preferred.Professional Skills & ExperienceChild CareEducation administrative experience preferred.Customer service experience is required.Full comprehension of office management systems and procedures.Analytical skills and the ability to work with dataAble to build and maintain relationships with clientsExcellent time management and organizational skillsProficient in working both independently and as part of a teamStrong attention to detailSpanish bilingual is required.Behavioral Competencies Ability to work independently, prioritize daily workload, manage multiple projects, work under pressure, and adapt to sudden changes in the work environment.Ability to multitask and high-level verbal and written communication skills.Attention to detail is an essential skill.Discretion and confidentiality are required.PHYSICAL REQUIREMENTSTravel between campuses is required from time to time.This position requires the need to lift objects (up to 20 pounds) on occasion.This position may require sitting for long periods at times, talking on the phone, standing, kneeling, stooping, and long periods of concentration.Local and instate travel required.Ability to occasionally lift office products and supplies, up to 20 pounds.POSITION S.M.A.R.T.
