Job Description:

The Office Administrator will oversee administrative functions for our Kansas City and St. Louis offices, working closely with firm management and interacting with corporate departments. This role can be based in either St. Louis or Kansas City, MO. Key Responsibilities:Leadership: Guide and supervise office staff, fostering a collaborative municate proactively with shareholders and participate in attorney and office meetings.Collaborate with the regional Team Leader and Office Administrator Team.Encourage open communication and maintain confidentiality standards.Supervision: Ensure appropriate staffing levels, hire and oversee support staff.Provide mentorship and training to employees.Conduct performance evaluations and maintain high client service standards.Attorney Development & Recruiting: Maintain local office CLE records and ensure compliance with state requirements.Assist with lateral attorney recruiting and manage client intake and file transfer procedures.Facilities Management: Oversee facilities and office services such as reception, mail, and supplies.Manage relationships with vendors and maintain emergency response and safety programs.Coordinate maintenance and repairs with local property management.Financial Management: Prepare and manage local office budgets and monitor monthly financial reports.Approve invoices and expense reports, and manage timekeepers' time entry to meet deadlines.Human Resources Management: Oversee HR activities such as recruiting, hiring, and orientation.Manage attorney and staff leaves and coordinate new hire training with HR.Marketing: Work with attorneys and corporate resources to identify and execute marketing opportunities.Assist with proposals and maintain an up-to-date local client mailing list.Office Administration: Organize office events and manage local travel administration.Practice Support and Information Management: Oversee secretarial and paralegal support and manage case assignments.Collaborate with regional litigation support personnel.Technology Management: Work with IT personnel to ensure system functionality and provide software training.Oversee local rollouts and initiatives and resolve user issues.Qualifications:Bachelor's degree required.Minimum of five years of office management experience in a law firm or professional services setting.Strong understanding of law firm administration, facilities management, and HR management.All qualified applicants will receive consideration for employment without regard to race, color, national origin, age, ancestry, religion, sex, sexual orientation, gender identity, gender expression, marital status, disability, medical condition, genetic information, pregnancy, or military or veteran status.
