EXECUTIVE ASSISTANT ORGANIZATION: Department of Texas Veterans of Foreign Wars, State HeadquartersLOCATION: 8503 North Interstate Highway 35, Austin, Texas 78753JOB PURPOSE: To perform administrative duties of the comprehensive operations of the Department of Texas Veterans of Foreign Wars, State Headquarters office.DESCRIPTION OF DUTIES AND TASKS:Essential duties and responsibilities include the following. Other duties may be assigned.Manages the daily flow of direct services and support to VFW Post, District Commanders, State Officers, and Committee Chairs.Coordinates and maintains the Department website calendar of events to include National, State, District and Post events and activities and requirements.Responsible for efficient and economical office operations to include ordering and inventory of office supplies, automation and office machines and equipment.Directly responsible for the preparation, set up and operation of the office for a minimum of four off-site events each year. Ensures appropriate supplies and equipment are on hand and transported to the event locations. Assists in the set-up of the off-site office and its operations during the entirety of the event. Serves as primary contact for vendors before, during and after these events.Coordinates individual hotel reservations for the Department Officers for all VFW events.Processes election reports at all levels, maintains and updates membership rosters and lists, prepares, and updates Bios of new and repeat officers.Maintains information on all VFW programs.Maintains files and prepares correspondence for all levels of the VFW as directed. Receptionist duties with a multi-line phone; typist duties as directed.Proofreading all publications (Texas VFW magazine, Banquet programs, and other publications).The duties listed above are intended only as illustrations of the various types of work that may be performed. Required:·      Effectively using interpersonal and communications skills including tact, diplomacy, and respect for others.·      Effectively using organizational and planning skills with attention to detail and follow through.·      Maintaining confidentiality of work-related information and materials.·      Establishing and maintaining effective working relationships.·      Must possess a valid driver's puter Skills:·      Demonstrated proficiency using standard office software applications:·      Microsoft Word·      Microsoft Excel (especially performing a Mail Merge)·      Microsoft Access·      Microsoft PowerPointPhysical Requirements:·      Frequent and routine lifting of objects up to 20 pounds.·      Subject to standing, walking, sitting, bending, reaching, kneeling, pushing, and pulling.·      Work is performed in a standard office environment.·      Must be available and able to travel to work related off-site functions.Work Experience:·      Significant work-related experience, preferably in a Veterans or non-profit organization.·      Must have a basic understanding or be able to quickly learn the organizational structure and functions of the VFW.·      Experience working with Veteran populations.Education·      Associate or Bachelor's Degree in related field or equivalent work-related experienceSalary and Compensation$55-65K Based on experience and qualifications and other benefits. This position is not eligible for relocation assistance and does not allow for telecommuting or working from home on a day- to-day basis and will require you to reside within the local commuting area. According to 5 CFR351.203 this is defined as "the geographic area that usually constitutes one area for employment purposes.
