ABOUT THE ROLE Boston While Black (BWB) is seeking a highly organized, creative, and proactive professional to join our team as a part-time, contracted Member Events Coordinator. The successful candidate will possess proven expertise in event design, project management, and event production. As an integral member of the BWB team, they will lead the planning and execution of our members-only virtual and in-person events, alongside curating member-exclusive experiences at our large-scale public events and partner events across Greater Boston. This role is key to ensuring that we consistently offer high-quality programming that recruits, engages, and retains our members.The ideal candidate must be comfortable working in a fast-paced, constantly evolving startup environment. Along with being an event planning genius, they must have strong knowledge and connections to events, cultural institutions, and tastemakers across the city. They must also be unapologetically committed to access, joy, belonging, and community for Black people. The person in this role must be in the Greater Boston area and able to attend in-person meetings and events.RESPONSIBILITIES Event Ideation: Collaborate with the BWB team, member leaders, and corporate partners to generate innovative event ideas, including workshops, networking mixers, virtual events, panel discussions, and social gatherings. Utilize your insight into Black community and culture to ensure events are inclusive and engaging.Event Planning: Lead the planning process, including developing event timelines, coordinating logistics, developing a detailed run of show, and coordinating speaker invites.Vendor Management: Source and liaise with vendors and contractors to secure services such as catering, entertainment, and photographers. Venue Coordination: Identify suitable venues and coordinate venue logistics, including setup, decor, and technical requirements.Virtual Event Management: Manage the technical aspects of virtual events.Attendee Management: Oversee the RSVP process, manage attendee lists, and handle on-site registration.Metrics and Tracking: Capture and report on event metrics, including attendance and engagement levels. Update and maintain a repository of past vendors, tracking performance, price, and delivery of services.Volunteer Management: Recruit, train, and oversee on-site volunteers.REQUIRED SKILLS & QUALIFICATIONS 7+ years of event production experience with strong project management, vendor management, and event planning, including digital andor hybrid events.Experience working in a fast-paced start-up andor a background in consulting.Strong connection, knowledge, and interest in relevant cultural happenings and events.Demonstrated high-level project and budget management skills, with the ability to coordinate multiple tasks and priorities effectively while adhering to budget constraints.Experience in using task and project management tools, such as Asana.Outstanding executive-level verbal and written skills, including meeting management and presenting information to different audiences.Proficiency in utilizing various technology platforms to host and run virtual events.
