Job Title: Office and Operations ManagerWe are looking for a capable and responsible Office and Operations manager who is comfortable managing the day-to-day operations of a small business and has experience in project management and procurement of parts. The ideal candidate would be interested or familiar with business operations such as QuickBooks, ADP Payroll, Accounts PayableReceivable, and have a background in ordering and managing of parts and suppliers. We are a small engineering company and build custom research and development fixtures. We're looking for someone to be part of the team and help engineers manage parts and suppliers, and learn and take on the responsibility of business operations such as HR, Benefits, Hiring, Legal and Compliance issues. This is a full-time on-site position for someone living within commuting distance to Redwood City, CA. Skills and Qualifications:in QuickBooks, finances, Accounts Payable and Receivable, Invoicing, POswith procurement of parts and managing of suppliers (such as machine shops)in Business operations: ADP Payroll, HR, Benefits, Legal and Compliance, Project Management: scheduling meetings, developing action items, organizing, and tracking milestones, presentations & customer proposals, etc.Roles and Responsibilities:Office and Business Operations:Responsible for the financial operations of the business: Invoicing, quotations & project plans, organize and track accounts payable and accounts receivable for our bookkeeper, pay vendors and contractors, working with bookkeeper for monthly Reconcile and quarter Salex Taxes.Create and track big picture company finances - and salesexpense projections.Develop and manage Operations Infrastructure: ITsoftware upgrades, Class 100 Cleanroom, Suppliers,Business Operations: NDA's, Contracts, Customer proposals, Interface with HR, Hiring, Sourcing of Parts, Tax filings, Insurance renewals, tracking down accounting issues.Procurement and Supply Chain Management:Order and tracking of parts, engaging with suppliers, and update schedules.Pickup and delivery of parts for UHV Cleaning or Machine Shop reworks.Ensure timely project execution by overseeing material handling and project logistics.Project Management Support for Engineers:with engineers to develop manufacturing & project plans (supplier quotations, procurement, receiving and cleaning of parts)meetings to manage projects: take meeting notes, assign and track clear action items, update project schedule, track milestones & deliverables.Update Excel Bill of Material (BOM), collaborate with engineers to create & track action items.Additional Requirements:Capable, responsible, and organized with a proactive approach to problem-solving.Driven and able to find solutions independently and working as part of a larger teamAttention to detail and a commitment to delivering high-quality mitted and motivated in a long-term career in project and operations management.About the Company: Applied Precision Design is a small boutique engineering design company that builds custom mechanical and optical assemblies for Research and Development in various industries such as Semiconductors, Biomedical Imaging, etc.Our mission is to support innovative R&D projects that are meaningful and important for the world.
