Job Description:

The Legal Administrative Assistant will provide essential administrative support to our attorneys, specializing in labor and employment law. This role requires excellent communication skills, very strong attention to detail, and the ability to manage multiple tasks efficiently.Responsibilities:Manage attorney schedules by coordinating meetings, appointments, and court appearances thus ensuring that calendars are up-to-date and municate effectively with clients, opposing counsel, court personnel, and other parties involved in cases.Manage and respond to emails on attorney's behalf, filter and prioritize messages.Weekly entry of billable time for monthly billing.Manage billing and invoicing processes, including tracking billable hours, preparing client invoices, and processing payments.Format and edit documents such as court filings, pleadings, etc.Coordinate travel arrangements, book flights, hotels, rental cars, and other travel accommodations, ensuring cost-effectiveness and adherence to travel policies.Prepare expense reports and reconcile credit card statements or receipts for reimbursement processing.Maintain organized and up-to-date physical and electronic filing systems for case documents, correspondence, and other materials.Provide general administrative support to the labor and employment team, including photocopying, scanning, filing, and other office tasks as needed.Proactively build and co-ordinate relationships with other LAA's and teams.Proactively support team and demonstrate a willingness to upskill and learn with others.May undertake specific practice group tasks and requirements.Qualifications:Bachelor's degree or equivalent experience required.Prior experience working in a legal environment, preferably in labor and employment law.Strong organizational skills with the ability to prioritize tasks and manage time effectively.Proficiency in Microsoft Office suite (Word, Excel, Outlook) and legal software applications.Excellent written and verbal communication skills, including a professional telephone manner.Ability to maintain confidentiality and handle sensitive information with discretion.Attention to detail and accuracy in all work performed.Ability to work both independently and collaboratively as part of a team.Willingness to learn and adapt to new tasks and responsibilities as needed.Supervisory ResponsibilityThis position has no supervisory responsibilities.Work EnvironmentThis job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.Physical DemandsThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.While performing the duties of this job, the employee is regularly required to talk or hear.
