This position requires exceptional organizational skills, attention to detail, discretion, and professionalism. The ideal candidate will be resourceful, proactive, adept at managing complex schedules, prioritizing tasks, and communicating effectively with internal and external stakeholders. This role will be required to be in-office at Ensono's Downers Grove, IL headquarters, 3+ days per week, as needed by the executive leaders. Key Responsibilities include:Calendar Management: Coordinate and manage the President's and other leaders' calendar, including scheduling meetings, appointments, and travel arrangements. Anticipate scheduling conflicts and proactively resolve munication: Serve as the primary point of contact for the President, screening and prioritizing calls, emails, and other correspondence. Draft and prepare communications on behalf of the President and other leaders as needed.Meeting Coordination: Organize and facilitate meetings, including preparing agendas, distributing materials, and taking minutes when requested. Ensure that the President is well-prepared for all meetings and has necessary information in advance.Travel Arrangements: Arrange domestic and international travel logistics including flights, accommodations, transportation, and visa arrangements if required. Provide detailed itineraries and support during travel as necessary.Document Management: Manage and maintain confidential documents, files, and records. Ensure that information is organized, easily accessible, and up-to-date.Project Support: Assist with special projects, initiatives, and presentations. Conduct research, gather data, and prepare reports as required.Relationship Management: Build and maintain strong relationships with key stakeholders, both internal and external. Represent Ensono professionally in interactions with clients, partners, and other executives.Office Management: Oversee the smooth operation of the President's office, including ordering supplies, managing expenses, and coordinating with other administrative staff as needed.Confidentiality: Handle sensitive information with the utmost discretion and confidentiality. Required Qualifications Bachelor's degree in Business Administration, Communications, or related field preferred.Referenceable experience as an executive assistant supporting C-level executives.Excellent organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.Ability to maintain confidentiality and exercise sound judgment in decision-making.Strong written and verbal communication skills, with a keen attention to detail.Proficiency in Microsoft Office Suite and other relevant software applications.Flexibility to adapt to changing priorities and schedules.Professional demeanor and interpersonal skills, with the ability to interact with individuals at all levels.Must be located in the Chicago area.
