Douglas Elliman has over 100 years' experience in managing cooperative and condominium buildings with expertise in all facets of building management.Condo Account Executive Co-Op, Condo Property ManagerPortfolio: est between 5-8 buildings depending on sizeList of ResponsibilitiesAccounts ReceivablesCommunicate between accounting office and residents on any accounting mattersSend late noticesAssist Owners in setting up on-line payments, making payments by check, etc.Direct AR on who to apply late feesinterest towhen to waive.Maintain list of current arrears for board meetingsMaintain list of retroactively charged unit owners and inform closing when said unit owners sell for recoupingAccounts PayablesReview and issue approval on invoices for paymentIssue charge-backs - Send email notice to unit owners with copy of invoice, apply charge on yardiAlterations:Provide Owners with Alteration information and help to guide them through processAccept alteration package and submit for engineer review and approval. Communicate between engineer and unit rep as necessaryGather all required paperwork, deposits and fees for alterationCharge back owners for applicable fees associates with reviews or plumbing feesEnsure compliance with DOB and LPCOrganize and conduct kick-off meeting prior to projectReview, schedule and communicate water shut-down prior to demolitionNotify NeighborsFollow-up throughout projectMaintain alteration fileHallway renovations - provided the policy, assist the neighbors with getting in touch with each other to approve the proposed hallway plan.Annual Meeting:Organize and send notice for Annual meetingSend out packages in advance, collect proxies, callemail in an attempt to gain quorumApplications:Assist in pre-application matters: i.e. review of minutes, questionnaire requests, etc.Obtain application package from closing department and provide to Board for ApprovalNotify Brokers once approved - Closing Agent typically contacts the brokerUpdate records accordinglyBoard:Relay information to Board as necessaryCreate Board packages monthlyCoordinate Board MeetingPrepare Management ReportWrite minutesWrite task listsBudgetComplete Budget with FAReview monthly financials and add variance commentsCapital:Plan Capital Committee MeetingsOrganize schedule for capital improvementsAssist in developing capital planning schedule and budgetCommunicate among residents and contractors during capital projectsResolve any resident issue that may arise as a result of capital workCommunicate with residents regarding their frustration re: faí§ade. Help facilitate accommodations where possible.Employee:Maintain employee files - have all new employees sign the employee handbookCommunicate all disciplinary action to Union and RABManage employee schedules and work-ordersAddress employee matters, needs, complaints, etc.Schedule employees for various repairs and maintenanceInsurance:Obtain insurance from all service people entering the building. Be sure certificates meet building requirementsFile Insurance and notify staff accordingly - via Building LinkInsurance ClaimsWrite reports and notify carrier of potential insurance claimsWork with carrier as necessary to provide information pertaining to claimsProperty InsuranceAssist Account exec on insurance renewalsResidentsSend notices to residents as necessaryResolve day to day matters that may ariseKeep records currentTax:Assist as needed during tax abatementRelay relevant information to residents as necessary on tax related mattersOther:Manage daily operationsWork with Resident Manager, on-site personnel and Main office personnelAttend all monthly, special and annual meetings
