Job Description:

Our client is seeking an Administrative Assistant to support senior professionals in their Dallas office. The successful candidate must be able to provide diversified administrative support & perform basic to highly complex tasks while exhibiting the highest level of confidentiality, accuracy, attention to detail, and multitasking. The individual must accept responsibility, be self-motivating, solve moderately complex issues independently & apply sound judgement in accomplishing assignments.Responsibilities include:Coordination of extensive travel arrangements, domestic & international (including car service & detailed agenda preparation), focusing on quality of travel experience as well as cost savingsProcess travel expense reports, check requests & corporate credit card statementsCalendar management & schedulingAnswer, screen & take accurate telephone messagesOrganize meetings including conference room reservation, AV & catering (for internal & external meetings)Good writing skills to be used in preparation of routine correspondence, e.g. memos, letters, & emails; editing & proofreading documents; scanning, saving & emailing such documents in readable formatPowerPoint presentation & Excel workbook preparation & verificationDocument managementManage all incoming & outgoing correspondence (email & standard mail); experience in the coordination of delivery via Federal Express, UPS, courier, &or the USPS of multiple mailings & shipments are essentialPromptly & effective screen, respond to & direct inquiries in a professional & polite manner.Create & maintain accurate files (computerizedpaperdesk) & a neat work area conducive to productivityBackup administrative coverage either as scheduled or on an as needed basisQualifications:Bachelor's degree2+ years of experience in Financial Services is mandatory (Real Estate preferred)Effective interpersonal, communication & written skills, strong administrative skills, capable of organizing & prioritizing a highly diverse workload.Experience arranging complex & extensive travel, domestically & internationally.This individual must be able to work with minimal direction, exercise good judgement & creativity, & work in a fast-paced, team oriented, professional environmentThe ability to interact effectively & professionally with all levels of staffHigh degree of poise, positive attitude, engagement in the business & team spirit is essentialProficient in Concur or similar application for processing expenses (i.e. Workday)Proficiency in basic computer skills including: Microsoft Word, Excel, PowerPoint, Outlook & internet research
