Our client is a smaller company but are continuously growing. They have acquired office and industrial properties managing all aspects of property operations, project leasing, construction, accounting, and asset management.POSITIONOur Client is seeking an individual that has experience with commercial property management to assist with Property Management Team with two Class A Office buildings in Allen and one Industrial building in Richardson. The ideal candidate will have experience as a Property AssistantAdministrator or Assistant Property Manager and will act as the primary liaison between the Property Management Office and tenants, vendors, and contractors to ensure consistent, high-quality service standards. They will support the Property Manager in all aspects of building operations and financial reporting, including budget preparation and implementation, contract administration, staff management, and construction supervision. Oversees internal office organization, including but not limited to: organization of property files, ordering office supplies and opening closing Management Office.RESPONSIBILITIES• Develops and maintains positive relationships with tenants, vendors and contractors and internal team members• Manages accounts payablereceivable for each property, to include coding of invoices and entry into accounting system• Receives tenant calls enters service requests in to work order system and dispatches to the building engineers• Assists Property Manager with the bid process of contracted services, and preparing service contracts• Prepares commencement notices and rent commencement letters• Responsible for sending rent invoices and statements to tenants• Responsible for rent and billback collections• Assists the Property Manager in preparing the annual budget and escalations, CAM, Tax, and Insurance billings to tenants• Responsible for posting billbacks and submeter charges on tenant accounts• Conducts property inspections and ensures that all physical aspects of the property are always fully functional and maintained in an attractive condition• Updates and prepares monthly rent roll reports• Updates utility trackers and scans utility invoices to P:drive• Assists in supervising capital improvements projects• Prepares annual CAM billings and assists with prior year true-up• Manages all lease administration and rent roll accuracy, including entering leases and amendments into Yardi• Reviews monthly variance reports, tenant ledgers & aged-receivable detail• Manages property risk effectively by communicating incidents and potential liabilities• Responsible for covering front desk in absence of Tenant Services CoordinatorQUALIFICATIONS• High School Diploma required, preferably Bachelor's Degree• 2-3+ years of commercial real estate experience• Strong understanding with commercial property management and office management procedures• Working knowledge of building leases• Ability to interact with tenants, employees and vendors in a professional manner• Strong working knowledge of the MS Office suite and proficient in Excel and Word• Excellent verbal, written, communication and interpersonal skills• Excellent organizational and time management skills, including proficiency in evaluating and prioritizing issues• Ability to work independently and with a team environment with emphasis on accuracy and timeliness• Ability to work well under pressure and against tight deadlines• Effective at multi-tasking• Must have strong work ethics• Strong attention to detail• Experience with Yardi, PM 2000, or similar property management accounting software program, a plus++• Experience with Work Order software program and its intended function• Experience with managing facilities-related personnel, particularly in the field of commercial property maintenance and janitorial responsibilities• Thorough knowledge of applicable accounts payablegeneral ledger systems and procedures, financial chart of accounts and corporate proceduresCOMPENSATIONThe compensation includes a competitive base salary and annual year-end bonuses.
