Program Assistant Graham Windham at PS 123 offers a safe, family focused environment for all members in the Harlem District 5 community.Throughout the year, elementary and middle-school youth, teens and adults are welcomed in a safe space to participate in a variety of activities based on the following: academic enrichment, performance arts, life skills (workshops, café’s, volunteer and network), job readiness, social-emotional support/wellness, sports and so much more. Primarily responsible for assisting in the operations and outreach unit, the Program Assistant will support in the areas of database management and operational/outreach functions.This position requires the ability to review and enter data, generate reports and other relevant paperwork, prepare financial requests, collaborate, execute and reinforce fiscally and operational responsible practices. The Program Assistant must communicate effectively with all Graham staff- internal and external, and all participants that are essential to program operations and culture cultivation.This individual must possess strong, diverse communication, organizational, analytical and problem-solving skills. This person will split work in the Operations and Community Outreach Unit and Family Empowerment Unit, reporting directly to the Outreach Coordinator and collaborate with the Graham Family Coach. Duties & Responsibilities (but not limited to): 1.Work with the Outreach and Family Empowerment managers to input data and prepare and process expenditures. 2.Serve as a liaison with Graham’s Fiscal and Operations departments regarding financial requests, procurement and expense reporting. 3.Maintain the fidelity and accuracy of DOE and DYCD data.This includes inputting any necessary vital data. 4.Ensure confidentiality of data collected and stored. 5.Provide administrative support to the Graham Beacon and Community School teams. Key areas include managing all financial requests, ordering supplies, equipment and activities, and keeping a supply inventory, and maintaining office cleanliness and customer service environment. 6.Represent Graham at PS 123 during Facility meetings. 7.Attend monthly Safety Council meetings in the absence of the Outreach Coordinator. 8.Schedule and track employee internal and external trainings. Track internal trainings in Relias. 9.Oversee office cleanliness, organization and functionality 10.Work with IT to manage equipment leases, purchases and upkeep. municate with school custodial staff regarding permits and facility upkeep. 12.Demonstrate exemplary customer service skills including creating a warm, welcoming environment for the community and staff. 13.Create and submit documents required by the Department of Health to ensure site is in good standingto pass regulatory requirements. 14.Conduct monthly operation reviews aligned to the regulations set by program funders and DOH. II.Minimum Requirements ·High School diploma or equivalency required; Associates Degree preferred. ·Familiarity with use of computers and software systems including spreadsheets, database and word processing. ·Bi-lingual in English and Spanish Other abilities Computer skills and/or knowledge, languages. Other Abilities (e.g. ability to interpret the regulations, etc.) ·Practice great customer service and cultural competence to all ·Good interpersonal skills and ability to work with people from various demographics and disciplines ·Clear written, verbal, and oral communication ·Strong typing and data entry skills ·Advanced computer skills- Microsoft Suite ·Ability to multi-taskand work with large amounts of data ·Strong organizational skills ·Excellent proofreading and editing skills ·Ability to work independently as well as part of a team ·Ability to meet deadlines and demonstrate full attention to detail Position Type Full Time Full-Time Position; Salary commensurate w/experience and qualifications.
