COMPANY: Hedge FundPOSITION: Temporary Administrative AssistantLOCATION: Menlo Park, CA (3x in office)HOURS: 8:00AM - 4:30PM with OT as neededCOMPENSATION: $40-50hourBACHELOR'S DEGREE: PreferredOur client is seeking a temporary Administrative Assistant to support a team of investment professionals. The ideal candidate will have 2-4 years experience supporting busy teams in financial services and have excellent communication skills.Responsibilities of the Administrative Assistant:-Heavy calendar management and meeting coordination (including booking conference rooms, set up, foodbeverage orders, etc.)-Answer phones, take messages, and manage contacts-Manage all expenses ensuring monthly submission and reconciliation-Coordinate and plan seamless travel arrangements including itineraries, car service, airline, and hotels-Provide backup coverage for other Assistants (EA or AA) on the team as well as reception-Attend weekly meeting with the Admin team-Assist with office, team build, and portfolio company events-Assist in maintaining and updating CRM system.-Assist with specialad hoc projects as needed.Requirements of the Administrative Assistant:-Bachelor's degree is preferred-Minimum 2-4 years of experience working as an Administrative Assistant-Strong written and interpersonal communication skills-Ability to prioritize workload and shift attention to new and upcoming tasks-Demonstrated team player, self-starter, and independent thinker-Exercises discretion and sound judgment; maintains confidentiality-Excellent organizational and follow-up skills, outstanding attention to detail-Proficient in MS Office: Word, Excel, PowerPoint, Outlook, Workday is a plus-Proven ability to maintain strong interpersonal skills when in contact with investors, partners, and internal team-Verification of identity, education, prior employment, and references may be required
