The successful candidate will perform various accounting, production scheduling, human resource, and administrative tasks. This detail-oriented role requires excellent data entry, technology, and communication skills. The selected applicant is analytical, a problem solver, and can prioritize and manage their time. Bookkeeping knowledge is required with a minimum of three years' experience in accounting, office administration, andor production scheduling. A general interest in art conservation, art history, or fine art is preferred.ResponsibilitiesReview, enter, obtain approval, and pay all accounts payable transactions through QuickBooksReconcile all credit card accounts and obtain supporting documentation to record them in QuickBooksProcess customer invoices and receivables in QuickBooksEnter all detailed customer production orders and workflow into Wrike, our project management softwareManage staff timecard submissions and PTO requestsMaintain files, including personnel, financial, and other data, in digital record-keeping systems with accuracy and discretionAssist executive management during staff recruitment process. Once new employees are hired, implement onboarding processes, including new hire paperwork, background screenings, and benefit enrollmentMaintain and update company policies, procedures, and training materials, and enforce company guidelinesMaintain company software agreements and subscriptionsWork with IT representatives to troubleshoot basic network issuesOversee third-party contracts and memberships with industrytrade partnersOversee educational programs and memberships for staffPrepare reporting and presentations as assignedMonitor shared company e-mail inboxes, including HR, recruiting, and billing inboxManage office supply stock and equipment"”order when necessaryProvide ongoing administrative support to executive managementAdditional tasks, as assignedExperience RequiredBookkeeping knowledge is requiredA minimum of three years of experience in accounting, office administration, andor production scheduling is requiredDemonstrated problem-solving and analytical skillsBachelor's degree or equivalent experience is requiredPrevious data entry experience working in QuickBooks and other Intuit platforms, Salesforce, and Wrike is strongly preferred.
